The Operations and Academic Initiatives Coordinator reports to the Administrative Manager and provides support to the School of Education through coordinating general operations, academic initiatives, and SOE events. This position is responsible for tracking and reporting School of Education data as it relates to budgets, faculty workloads, adjunct faculty contracts, enrollment and other academic areas. This position also provides lead support for SOE events, both internal and external.


Required Education

  • BA/BS degree required.

Required Experience

  • Three to five years of administrative support experience required; prior event planning experience preferred.

Primary Duties/Essential Functions

  • SOE Operations Support Activities - 50%
    • Track monthly and annual budgets within Adaptive Insight, providing the Administrative Manager and Dean with a monthly budget summary analysis of spending patterns
    • Monitor restricted accounts and keep Administrative Manager and Dean apprised of status and trends
    • Oversee processes and support for the Concur system: credit card reconciliation, reimbursements, and travel requests
    • Assist with SOE grant programs for teachers (Keeping History Alive and Bringing STEM to Life), including tracking application and award processes
    • Create an SOE Newsletter to distribute to all faculty, adjuncts, staff, current students, alumni, and University and community stakeholders on a quarterly basis
    • Serve as School of Education timekeeper for Kronos system
    • Serve as key point of ordering for supplies for the School of Education, including monitoring purchase orders
    • Monitor and direct incoming communication, including phone calls and School of Education general email
  • Academic Initiatives Support Activities - 50%
    • Create and monitor submissions of Adjunct, University Mentor/Coach contract and personnel file processes including overloads and adjunct, extra service, and honoraria payments
    • Monitor faculty workloads semi-annually, update data in Interfolio annually
    • Oversee enrollment projection activities, including tracking of enrollments and revenues by program, department, and location
    • Assist with Fall and Spring SOE scholarship award processes
    • Coordinate planning and set-up for monthly events include staff and leadership team meetings, Next Generation Superintendent's Leadership Academy, and Superintendent’s Collaborative (quarterly). Annual events include: hooding events, speaker series, receptions, retreats, Kickoff events, New Student Orientation (twice per year), hiring fair, and alumni awards.
  • Regular, punctual attendance as required by the supervisor based on department needs.
  • Performs other duties related to job description as requested by the supervisor.

  • Knowledge of issues and efforts in higher education (including Christian higher education).
  • Well organized and detail oriented.
  • Need an ability to prepare and present reports and updates.

Compensation

  • Grade 9: $23.58 to $30.65 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
