Part Time Office and Member Administration Coordinator
Non-Exempt 20 – 25 Hours / Week
You will be responsible for a variety of tasks related to smooth, efficient office management and exceeding Member expectations through general office processes and technology systems, database management, administrative support, invoicing, and retention of Membership accounts. This position interacts with Chamber Members frequently through Member retention and customer service activities. The position reports directly to the Chamber’s President.
Detailed Responsibilities
- Ensure office equipment and technology is in working order and that service is provided within budget guidelines. Review office technology contracts annually for efficiencies.
- Maintain adequate office supplies for general operations and for specific functions upon request.
- Assist staff with chamber events as requested.
- Assist with event registration and maintain attendance records.
- Process incoming mail.
- Handle and respond to general inquiries and phone calls.
- Assist President in managing their schedule when requested.
- General administrative support of various Chamber programs and special projects.
- Create and update office processes to ensure accuracy.
- Notary Public certified (fees paid by Chamber).
- Attend and support all Board and Exec Committee meetings (schedule meetings, create agenda, take minutes when requested).
- Review all incoming emails and route to appropriate team Members or answer questions yourself.
- Open daily mail and pdf checks to Finance Director. Distribute mail to appropriate team Members.
Membership
- Responsible for data management of Chamber Member accounts as well as others included in database.
- Make A/R follow up calls to Members.
- Assist with any technical/training/password questions from Members.
- Assist with “Membership Application” by inputting information into the database, sending a message to the Member with information pertaining to the Chamber, and mailing our resource guide after payment for membership has been received.
The Chamber retains the right to change or assign other duties to this position to meet changing needs in a high paced and fast-moving environment.
Knowledge, Experience, and Education Required
- Associate degree, professional certification in administrative services, or 3-5 years of administrative support experience in lieu of degree or certification.
- Experience working in the chamber of commerce/association management industry preferred but not required.
- Strong interpersonal skills to effectively cultivate relationships with Members, volunteers, and community stakeholders.
- Ability to organize, plan, and prioritize workload involving multiple projects at one time.
- Ability to exercise judgement and problem-solving skills.
- Strong ability to work independently and as part of a team in fast-paced, changing environment.
- Capable of maintaining sensitive/confidential information.
- Represent the Chamber in a professional manner.
- Must have the ability to foster the values of Member relations and quality assurance in customer service.
- Proficient in Microsoft Office programs including Outlook, Excel, PowerPoint, and Word
Physical Demands
While performing the duties of this job, the employee is required to work at a desk and computer for long periods of time, and is occasionally required to stand, move, or transport materials. The employee may be required to lift materials of up to 35 pounds.
The employee must be able to perform the essential functions of the position satisfactorily and, if requested, reasonable accommodations will be made to enable employees with disabilities to perform the essential functions of their job, absent undue hardship.
Work Environment
Most duties will be performed in and from the Chamber’s office based in Eagan, MN during regular business hours. Work will be 5 days a week unless modified. There can be some flexibility on regular daypart used, and occasional WFH is possible, but this position is expected to be on site each workday so the office can be staffed for visitors when other Staff is on assignment. Some off-site work and additional hours may be required to help support occasional Member meetings and events.
Time Commitment
The average time commitment will be 20-25 hours per week to fulfill the duties required of this non-exempt position. Some flexibility in the start/end times work schedule is available.
Compensation and Employee Benefits
Compensation is commensurate with experience.
