Gables Motorsports & Marine is the leading powersports & marine dealership in North Tampa region. We carry Honda, Polaris, Vanderhall, Tracker, Tahoe, Regency, Shearwater Boats, and many more.

We are looking for an experienced (3+ years minimum) Office Manager.

Your role is to create and maintain a work environment ensuring high levels of organizational effectiveness, communication and safety. A successful office manager must have experience with a variety of office software (email, online tools, spreadsheets and databases) and be able to accurately handle administrative duties. This individual must be extremely detail oriented because breakdowns in this department can result in a failure to receive products, or inadvertent violations of compliance.

Responsibilities

  • General office manager & bookkeeping duties
  • Monitor and maintain accuracy and flow of paperwork daily.
  • Report any discrepancies or inaccuracies directly to the General Manager and or Dealer Principal.
  • Supervise cashiers and be actively involved in the cross-training of employees as directed by the General Manager.
  • Coordinate Titling.
  • Match purchase orders with vendor invoices. Match statements to invoices monthly. Reconcile factory statements monthly.
  • Bank Deposits.
  • Post all invoices, receipts, factory accounts payable, deals, new vehicles into database.
  • Insure all contracts are mailed to finance companies.
  • Handle customers needing assistance.
  • Partner with HR to update and maintain office policies and assist in onboarding process for new hires.
  • Organize office operations and procedures
  • Manage contract and price negotiations with office vendors
  • Other duties as assigned by the Dealer Principal or General Manager which are deemed necessary.

Required Qualifications and Skills:

  • 3+ years payables or dealership office manager experience.
  • Strong knowledge of dealership data management systems (DMS) such as: ADP, CDK EVO (utilized)/NXT, DX1, and Reynolds & Reynolds.
  • Knowledge of office responsibilities, rules & regulations, systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent time management skills and ability to multi-task and prioritize work in a high volume environment.
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • High School degree; college work & additional qualifications as an administrative assistant or similar is a plus.
  • Able to reliably commute to the dealership location.

Pay: $40,000.00 - $50,000.00 per year
