We are growing, and looking for an enthusiastic Front Office Specialist for a busy ophthalmic office/practice. The person we are looking for will offer a high-level of teamwork, dedication, and communication. The ideal candidate will primarily work in a front office check out position, and will cross-train to perform other front offices duties, including but not limited to: phones/voicemail, scheduling, daily faxes and correspondence, check in/out, referrals, support of surgery coordinating, etc. The ideal candidate should be someone that likes to 'smile.' Ophthalmology experience is a plus!

GENERAL SUMMARY OF DUTIES: Responsibilities include all front office functions including patient relations, appointment scheduling, telephone duties, patient registration, insurance verification, handling medical records, filing, cashiering, and computer work.

DUTIES INCLUDE BUT NOT LIMITED TO:

  • Work at the front desk, answer incoming calls using proper etiquette, route calls to appropriate staff, and greet patients and visitors professionally.
  • Scheduling appointments and confirming/updating registration including insurance carrier; canceling and rescheduling patient appointments; Obtaining provider appointment schedule and blocking when provider out.
  • Generate super bills with schedule, print out last office visit, op report and referring physician medical records, payment plan forms, and /or any other document required for the visit.
  • Register new patient demographics and properly document, including referring physician information. Scan identification and insurance cards.
  • Checking in/Checking out patients, facilitate patient flow by notifying nurse or MA of patients’ arrival, being aware of delays and communicate with patient and clinical staff.
  • Insurance verification and document account. Informing patient to obtain provider referral authorizations, assist patient if needed. Communicate with patient their insurance benefits.
  • Adheres to office policy on safety and security, safeguarding keyless entry codes.
  • Maintains patient waiting area and front office in an organized and neat manner.
  • Collecting co-pays from patients prior to being seen. Informed patient of outstanding balance, collecting balance or setting payment plan.
  • Cross train and backup all duties and responsibilities of the Medical Office Specialist: front desk positions.
  • Open, sort and screen all mail and faxes.
  • Perform other duties as required.

Qualifications:

  • Knowledge of modern office equipment including copier, fax machine, and computer.
  • Skill in dealing with interpersonal issues and customer relation
  • Ability to handle multiple priorities at once with minimal supervision.
  • Ability to comprehend and follow written and verbal instruction
  • Ability to organize and communicate clearly.
  • Ability maintain confidentiality of patient and employee information.
  • Telephone etiquette skills
  • Less than one year of medical experience is required, one to three years of medical experience is preferred, including medical insurance knowledge.

Job Type: Full-time

Pay: $16.00 - $19.00 per hour
