Job description
Manages the overall award, procurement and HR process in the Office of Research and Economic Development (ORED) by closely working with Colleges / Departmental administrators to ensure that award and agreement setup, HR actions and procurement actions are process timely. Performs budget revisions, completing internal and external forms and preparing Nondisclosure, confidentiality and teaming agreements.
- Assists the Director of Human Resources in processing, new hires, promotions, terminations, retention, resignations, leave of absences, posting of positions, immigration, establishment of positions and reclassification actions for the Division. Serves as HR contact for the division working with the Associate Director
- Works with new Faculty and Principal Investigators to facilitate recruitment strategies. Completes strategic hire forms and posting waivers. Processes cost of living allowances for international projects
- Ensures that consultants, suppliers and subrecipients have completed their purchasing documentation to become register vendors to allow them to receive payment from the University.
- Researches and gathers information to assist in the development of reports and presentations for sponsored related projects.
- Provides Principal Investigators with regular programmatic financial reports using the University system(s).
- Assist with audits as needed.
- Serves as the point of contact between PI's and the Division of Research. Serves as Liaison between faculty researchers and FIU service units.
- Manages the financial administrative operations for sponsored related projects. Process monthly reconciliation for research related credit card purchases. Process receipts and assure timely payment to external vendors. Creates revenue journals for FIU merchant accounts.
- Assists with and monitors maintenance contracts involving core facilities.
- Coordinates the ordering and maintenance of equipment and supplies for all sponsored projects.
- Verifies citizenship for employees on foreign projects.
- Coordinates all travel arrangements including: Airline, hotel and car rental reservations. Prepares TAR and travel reimbursement form for faculty researchers.
- Assists Investigators with the planning and implementation of Research symposiums, workshops and conferences, including marketing, logistics and provide support during events/functions.
- Reviews and submits prior approval requests (change of PI) to ensure compliance with sponsor requirements and institutional requirements.
- Assists Principal Investigators with the processing of requisitions and purchase orders related to sponsored projects.
- Assists the Director of Human Resources with the creation, tracking and/or renewal of faculty appointments for the Division. Schedules interviews, and directs job applicants to DHR for relating information pertaining to compensation, benefits, and schedules and/or any other information pertaining to the University.
- Maintains internal organizational charts for DOR and its Centers for departmental use.
- Serves as backup to submitting HR transactions in the system.
- Processes all Post-Award personnel contract forms. Coordinates the submission of Just-in-time documents to Sponsors and non-competing continuation documents. Assists Pre-Award with reviewing biosketches and salary verifications
- Coordinate the preparation and processing of No Cost Extension requests and submits them to the proper granting agency. Serve as liaison for the processing and review of Teaming Agreements, Collaboration agreements, Non-Disclosure Agreements and other Agreements as needed.
- Schedules and participates on E-verify calls between PI's and the Payroll department.
Minimum Qualifications
Bachelor's degree in business or related field and four (4) years related business or administrative experience, or Master's degree in business or related field and two (2) years related business or administrative experience.

- Knowledge of Peoplesoft.
- Experience providing support to HR and Financial operations.
