We provide enterprise level information technology services including network management and security; computer operations; application hosting; desktop provisioning and management; and modern and responsive digital services to 40,000 internal stakeholders plus the residents, business owners and visitors to the Commonwealth of Massachusetts.
EOTSS is seeking to hire an Inventory Audit Control Specialist whose primary responsibility will be assisting the IT Hardware Asset Manager with the management and tracking of IT hardware assets owned and managed by the Secretariat and supported agencies, ensuring the technical and financial disposition of assets is maintained to support accurate reporting. This is a highly visible role within EOTSS and across the Commonwealth. This position will report to the IT Hardware Asset Manager.
The Inventory Audit Control Specialist will work collaboratively assisting the IT Hardware Vendors and EOTSS Inventory Manager with the PCaaS Refresh project. The Inventory Audit Control Specialist will need the skills to use an Inventory Management System for ordering, receiving, tracking, updating, managing, and reporting on IT hardware assets; ability to effectively communicate with vendors, agencies, and departments across the Commonwealth to track the life cycle of assets from procurement to retirement; and ability and willingness to load and unload delivery vehicles at designated sites, use a pallet jack, and lift and move equipment up to 50 lbs.
The primary work location for this role will be 200 Arlington Street Chelsea, Massachusetts 02150. The work schedule for this position is Monday through Friday, 8:00AM to 4:00PM EST. The incumbent will, on occasion, be required to travel to agency supported sites. This position is expected to follow a hybrid model of reporting to work that combines in-office workdays and work from home days as needed (4 days on-site and 1 day remote - subject to the needs of the business).
Duties and Responsibilities:
- Support, maintain, and enhance the current Asset Management process for EOTSS.
- Partner with vendors, agencies, and departments across the Commonwealth to ensure established hardware asset policies, standards, and procedures are followed.
- Coordinate with vendors and identify Secretariat proxies to deliver and distribute new end user equipment pertaining to refresh initiatives.
- Utilize reports to ensure process integrity and data quality.
- Assist as needed in the set-up / removal of devices, peripherals, and other equipment.
- Create orders for hardware assets, support, and professional services.
- Process mailroom, loading dock and other deliveries by scanning IT hardware assets and receiving and updating asset information in ServiceNow (SN) and the TSS asset management system.
- Assign and print asset tags for assets as needed.
- If applicable, provide asset tags and asset information spreadsheet (containing serial and asset tag numbers) to asset owner/Agency.
- Close out orders / tasks in Asset Management System once orders are received in full.
- Update stockroom / location of delivered or moved assets in SN as needed.
- Routinely pickup disposal assets (generally on-site), remove HDs, sort and scan, update asset status and location in Asset Management System.
- Provide disposal/surplus asset info to OSD (Operational Services Division) for disposal approval, schedule pickup of disposal assets with disposal vendor.
- Perform or assist in asset audits at various EOTSS agencies.
- As needed, run reports in SN for purposes of auditing, tracking, updating.
- Maintain the work environment and comply with all relevant safety rules, regulations, policies, and procedures.
- Perform all other IT hardware asset management duties as directed.
Preferred Knowledge, Skills & Abilities:
- Three (3) years of direct, hands-on professional experience in IT Asset Management, working in an IT warehouse environment, or equivalent experience.
- Two (2) years of hands-on experience in managing IT hardware and support renewal contract lifecycle management, or equivalent experience.
- Working knowledge of an IT Asset Management system is a plus.
- Working knowledge of the ServiceNow Asset and Configuration Management applications is a plus. Procurement experience is also a plus.
- Must be physically able to lift and move up to 50 lbs. and use material handling equipment.
- Possess superior attention to detail, organizational skills, and multi-tasking abilities.
- Ability to enter critical data with complete and total accuracy and grasp new technologies quickly.
- Possess great initiative and a positive can-do attitude.
- A willingness to be cross trained and assist as needed to support and backup peers.
- Must have ability to problem solve independently and with a group.
- Must have strong oral and written communication skills and ability to communicate at all levels of the organization.
- Must be responsible, reliable and have a strong work ethic.
- Proficient knowledge and hands-on experience in Microsoft Office Suite (Excel, Word, PowerPoint, Access, Teams, Visio) preferred.
- Valid driver’s license with a clean driving record. The incumbent will, on occasion, be expected to drive Commonwealth fleet vehicles, or their own vehicle, to agency supported sites for pickup or delivery of equipment, deskside assistance and/or verification of inventory.
Education and Certifications:
- Associate degree in computer science, information systems, business administration or other related field, or equivalent work experience.
- ITIL V3/V4 Foundations Certification is desirable, but not required.

Minimum Entrance Requirements:
Applicants must have at least (A) five years of full-time, or equivalent part-time, professional experience in electronic data processing work the major duties of which included computer programming and/or computer systems analysis, of which (B) at least two years must have been in a supervisory capacity, or (C) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's degree with a major in the field of data processing or computer programming may be substituted for a maximum of one year of the required (A) experience.*
II. A Bachelor's degree with a major in the field of data processing or computer and/or information science may be substituted for a maximum of two years of the required (A) experience.*
III. A Graduate degree with a major in the field of data processing or computer and/or information science may be substituted for a maximum of two years of the required (A) experience.*
IV. A diploma for completion of a two year full-time, or equivalent part-time, program in a recognized non-degree granting business or vocational/technical school above the high school level with a major in the field of computer programming may be substituted for a maximum of one year of the required (A) experience.*
V. An official transcript from a recognized business or vocational/technical school as evidence of completion of a program consisting of at least 650 hours of instruction in the field of computer programming may be substituted for a maximum of one year of the required (A) experience.
VI. Graduation from the data processing course of a recognized vocational/technical high school may be substituted for a maximum of one year of the required (A) experience.*
- Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed. No substitution will be allowed for more than two years of the required (A) experience. No substitution will be allowed for the required (B) experience.
