Supports employment processes related to international employees, payments to foreign independent contractors, and international student financial aid. Supports auditing processes during the payroll cycle and as assigned. Performs other duties as assigned.

JOB DUTIES:


45% - Essential - Data Verification - Reconciliation:
Reviews system information to ensure proper payroll and taxation processing for International Employees. Reviews Citizenship and Visa/Permit Data and updates Earnings Codes and FICA status in the University HRIS system as needed, per residency and tax analysis. Uploads and monitors Tax Treaty non-resident data. Monitors data integrity each pay period (via query results) and addresses discrepancies and inquiries, processes corrections, coordinates with payroll, and follows up to ensure the process runs correctly. Reviews processes, analyzes data and makes recommendations on improvements to achieve a more lean and effective processes.

25% - Essential - International Onboarding:
Meets with international employees to prepare and collect documents for employment eligibility verification, substantial presence test, residency status determination, and tax withholding. Processes the collected documentation, forwards the required forms for E-Verify and tax withholding to the appropriate unit within HR and Payroll. Reviews and processes international hire requests. Creates and maintains accurate files. Facilitates the Social Security application process for international hires. Assists manager with year-end Form 1042 and 1042s federal reporting and new calendar year changes. Conducts training presentations for University departments on international employment topics.

10% - Essential - International Daily Reports, Visa Expiration and Work Authorization:
Prepares and runs the daily Student and Exchange Visitor Program and HRIS updates. Meets with international employees to review documentation for work authorization and tax status updates and processes these updates in our system(s). Reviews daily transactions with manager.

10% - Essential - International Student Financial Aid:
Audits daily international student financial aid changes/reports and completes actions required. Meets with student aid recipients, prepares all required federal documents, calculates the required tax withholdings, issues tax voucher requests, notifies Student Financial Services of tax amounts, notifies Payroll for electronic fund transfers of tax deposits, and maintains accurate files for audit and year-end federal reporting.

10% - Essential - International Documentation and Reporting:
Determines non-resident alien (NRA) employee and independent contractor status, related federal documentation and tax withholding, tax payment and reporting requirements. Assists with training presentations for University departments on international employment topics, including employment, scholarship awards, and payments to international independent contractors. Stays current with changes and emerging issues related to the Code of Federal Regulations, Internal Revenue Service, Social Security regulations, Department of Homeland Security, and US Citizenship and Immigration Services.

MINIMUM REQUIREMENTS:


Education - 1st Bachelor's Degree and experience in human resources.

PREFERRED REQUIREMENTS:


Education - Bachelor's Degree in HR, Accounting, Business

Experience - 2+ years of knowledge and work experience in international employment and taxation.
