The Office / Project Manager Assistant position is vital to the overall operation of our firm. You will be responsible for multiple roles ranging from managing the Lola office to working directly with your assigned Project Manager to offer an exceptional client experience. We are looking for a candidate who is confident, has a positive attitude approach, enjoys managing multiple tasks at one time, and can offer solutions when faced with challenges.

ROLES & RESPONSIBILITIES

· Prepare the office as “business ready” each morning (lights, shades, scents, music, cleanliness, hospitality, table cleared off for client meetings, door sign ready, etc.)

· Answer phone, check mail & voicemail each morning & throughout the day

· Run errands including daily lunch ordering/pick-up, returns to UPS/FedEx, check mail at post office & deposit checks, pick up samples or resources as requested by Project Managers, etc.

· Greet guests at the front entrance

· Manage office & office resources (printer/internet issues, daily trash disposal, filing, etc.)

· Accept deliveries at office & warehouse as needed, organize & label products by client. Inspect condition and accuracy of all products as they arrive, take photos of damage, and coordinate a replacement piece when necessary

· Schedule delivery and installation of merchandise to project residence in coordination with Project Manager’s direction

· Receive deliveries at Client’s residence as needed; inspect each item delivered and ensure client satisfaction

· Prepare new Client binders & baskets/bins for your projects; keep Client samples organized and updated

· Attend client and job site meetings as required; take notes and distribute to appropriate parties

· Create and update Client spec books

· Create and place purchase orders

· Collaborate with Project Manager daily to assist with projects (product sourcing, presentation prep, workroom orders, proposals, etc)

· Prepare meeting materials – samples, drawings, proposals, measuring tape, etc.

· Assist in project installs & photoshoots and handle resulting punch list items

· Manage, label, and reconcile retail receipts for Client installs; prepare proposal for client

· Manage and coordinate product returns after installs

· Assemble move-in baskets for client at end of project

· Manage all Client & Lola inventory for your projects – physical and with software system

· Maintain itemized job reports of inventory for your projects and communicate with Project Manager regarding delivery date, backorders, delays, damage, etc.

· Keep sample library updated and organized

· Meet with Vendor Reps to receive new product samples & review discontinuations

· Order additional samples for frequently used pieces

· Track billable time in 10-minute increments

· Manage special occasion projects (Christmas cards and Client gifts)

· Personal assistant to Principal Designer as needed

EXPERIENCE/SKILLS

· Bachelor’s degree preferred or equivalent experience

· 2+ years of work experience in a professional setting

· Proficient in Microsoft Suite, specifically Excel

· Accountable for professional, high-quality work, own the position

OFFICE HOURS

Monday - Friday 9:00 AM - 5:00 PM

Job Type: Full-time

Pay: From $18.00 per hour
