What is the Job?

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Conducts or assists with new hire orientation.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Assist with day to day operations of the HR functions and duties
  • Provide clerical and administrative support to Human Resources executives
  • Compile and update employee records (hard and soft copies)
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes
  • Properly handle complaints and grievance procedures
  • Develops and maintains positive and professional working relationships with all customers to ensure customer satisfaction.
  • Provides instruction for inquiries related to system use for benefit enrollment or maintenance
  • Maintains confidentiality of customer information including personal information and other business records related to employment and benefits at Crystal Finishing Systems, Inc.
  • Performs other duties as assigned by supervisor.
  • Handles daily updates to company communication, sorting and distribution of mail.
  • Provides instruction for inquiries related to system use for outside job applicants and internal customers

What you bring:

  • Proficient in Microsoft Office Products (Word and Excel at a minimum) and HRIS systems required including advanced report writing.
  • Excellent oral and written skills. High level of interpersonal skills to communicate at all levels of the organization.
  • Ability to manage multiple deadlines
  • Accurate and efficient data entry experience is required.
  • Outgoing, positive and pleasant personality.
  • Ability to manage multiple tasks efficiently.
  • Required to work within a team environment and independently as needed.
  • Proven experience as an HR assistant, staff assistant or relevant human resources/administrative position
  • Fast computer typing skills (MS Office, in particular)
  • Hands-on experience with an HRIS or HRMS
  • Familiarity with ATS software and resume databases
  • Basic knowledge of labor laws
  • Excellent organizational skills
  • Strong communications skills
  • Degree in Human Resources or related field
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
