Club Summary

Walpole Country Club is looking for a dynamic, energetic, and driven Financial Controller to add to our team! The Ideal candidate has strong communication and organization skills, excels in a fast-paced environment, and can perform basic office functions. The Controller will direct the functions of the Business Office and it's staff, to produce accurate and timely financial information and reporting, to function as the Human Resource manager for the club, to manage cash flow and daily operational issues, and to manage the I.T. infrastructure to support the club's network. The Controller report directly to the General Manager.

Essential Qualifications

  • Bachelor’s degree in Accounting
  • Four years or more of relevant Accounting or Finance experience
  • Two years or more in a management role
  • Must be an advanced user of Microsoft Excel, Word, and Outlook;
  • Strong verbal and written communication skills;
  • Highly organized and detail oriented;
  • Work ethically with honesty and personal integrity;
  • Excellent interpersonal and managerial skills.
  • Meticulous attention to detail.
  • Ability to multitask, meet deadlines, and properly prioritize activities.
  • Positive can-do, hands-on attitude.

Weekly or Bi-Weekly processing:

  • Preparation of the cash requirements list for Operating and Capital expenditures
  • Preparation of checks and supporting documentation
  • Process hours from time cards and import to Payroll Solution, process payroll and update files with each weekly run.
  • Support Accounts Payable Specialist as needed.

Financial Reporting:

  • Conduct the monthly close procedures and coordinate the efforts of the Accounts Payable clerk and General Ledger Accountant
  • Prepare bank reconciliations for all checking and saving accounts
  • Prepare and pay monthly Sales Tax and Meals Tax
  • Supervise physical inventory for Food, Beverage and Carriage House
  • Update physical item counts and recalculate actual inventory values
  • Update Cost of Goods Sold for food, beverage and Carriage House
  • Record entries for spoilage, employee meals, and gratis
  • Record and classify purchasing discounts
  • Record entries for payroll service expenses and bank charges
  • Analyze and record prepaid expenses
  • Prepare and pay monthly settlements for the Pro Shop
  • Prepare and post all bonus accruals
  • Prepare and post payroll entries monthly
  • Transfer and post capital cash from Operations to Capital bankaccount
  • Review and finalize all general ledger detail
  • Prepare and present financial statements and reporting package for the Finance Committee meeting on the 3rd Tuesday of each month

Budgeting:

  • Manage the budget process, introduce the timeline, provide the templates, conduct the consolidations and reviews, and provide the final documents for the annual meeting. Enter the approved numbers into Jonas and monitor them on a monthly basis.
  • Prepare and monitor budget for the General and Administrative department of the club

Insurance Renewals:

  • Complete application process for the general liability insurance program, assist the agent with requests from carriers, and evaluate the plan options to secure the renewal prior to November 1st of each year
  • Complete employee census information for medical and dental insurance carriers, prepare an evaluation of the quotes obtained by the broker, conduct the employee open enrollment session, provide completed enrollment forms and final census with deposit payment prior to the renewal on July 1st of each year.

Human Resources:

  • Process and maintain personnel files for all employees, seasonal and permanent
  • Administer employee benefits including paid time off, medical, dental, and life insurance, disability insurance, 401k, bonus and auto stipend payments, holiday pay, and performance reviews.
  • Conduct performance reviews for Business Office employees
  • Conduct Harassment Training education seminars each year.
  • Maintain proper state and federal employment law posters throughout the club
  • Provide current information to department managers on labor law, hiring and termination practices
  • Report and record workers' compensation claims and administer the claims through the insurance agent
  • Provide the employee census to the 401k Plan Administrator for use in the preparation of the annual Form 5500

Annual Audit or Review:

  • Provide all information necessary to the selected audit firm for use in the annual audit or review
  • Participate in the preparation of the club's tax return as needed by auditors
  • Finalize, obtain signatures, and file the annual Form 990-T

Information Technology:

  • Work with outside IT firm to maintain and do regular updates to the company’s computer systems and programs. Assist employees with computer issues.
  • Ensure that all Point of Sale computers and network printers and devices are stable and operational
  • Ensure that the network is secure from outside interference with firewalls, and virtual private networking; and the data is protected from hazard with backups, virus protection and data redundancy.
  • Work with outside IT firm to administer network users, network security, and organize file structures on the server.
  • Coordinate the efforts of the outside IT vendor to meet our needs within budget

Supervisory Function

  • Directed the efforts of staff of 1-2 people. Ensure that work loads are sufficient and a team approach is applied.
  • Identify opportunities for operational improvement and develop plans for implementation.

Knowledge, Skills, and Abilities

  • Ability to objectively analyze data and provide recommendations.
  • Highly advanced skills in Excel required. Advanced skills in MS Office products and tools including, but not limited to, Outlook, Teams, Word, OneNote. Prior experience with Jonas Software and CertiPay helpful but not required.
  • Working knowledge of state and federal accounting related regulations
  • Working knowledge of state and federal human manager related regulation
  • Working knowledge of state and federal tax related regulations

Job Type: Full-time

Pay: $85,000.00 - $125,000.00 per year
