Attorney and software company owner seeking an executive assistant that can work in both businesses and help executive succeed by taking tasks off his list. You must be a self-starter, anticipate my needs, and use your intuition to find your next task.

Legal experience a plus, but confident the right person will succeed (medical billing, software support, legal assistant, etc).

Job duties include drafting documents, filing with the court, scheduling appointments, meeting clients. Will also including: calling clients, appointment confirmations, software company assistance: speaking with users, invoicing, monitoring emails, updating addresses.

This is for full-time in New Smyrna Beach Mon-Thur 8:30a -5:00 p and Friday 8:30-1:00pm (36 hours per week).

Responsibilities

  • Provide administrative support to lawyer and enhance office effectiveness
  • Handle communication with clients
  • Meet with clients as needed
  • Prepare administrative/transaction documents, interrogatories, discovery, petitions for probate and civil litigation, manage and oversee docket.
  • Conduct investigations and statistical/documentary research
  • Locate and develop case relevant information
  • Type up and file basic legal documents and correspondence
  • Answer and direct phone calls
  • Maintain contact lists
  • Monitor deadlines and juggle calendars
  • Monitor first line software support
  • Call and confirm appointments

Skills

  • Proven professional working experience in an office environment with - preferably legal, medical, dental, or software support
  • Familiarity with law, legal procedures and protocols, and court system
  • Satisfactory knowledge of day-to-day operations of a legal office
  • Computer literacy - Must KNOW Word (Libre Office), Excel, and file systems. Must be able to find and replace, create mail merges, save and copy documents, convert to PDF, browse to upload files.
  • Proficiency in English
  • Experience with NextChapter Bankruptcy Software a plus.
  • Experience with Dropbox, Slack, QuickBooks a plus.
  • Excellent secretarial and organizational skills
  • Ability to juggle multiple activities and work under pressure
