Executive Assistant/Senior Administrative Assistant
Job description
Saint Peter's Department of Administration is seeking a Senior Administrative Assistant to join the team supporting the CNO and Chief Compliance and Safety Officer!
A Senior Administrative Assistant will provide support to members of the Senior Leadership Team at Saint Peter's Healthcare System as well as other members of C-Suite in the Department of Administration.
You will:
- Support the Vice Presidents in Administration by performing a variety of executive, secretarial, and administrative functions.
- Maintain calendars of the Vice Presidents; schedule meetings, events, interviews, and appointments, reserve conference rooms; coordinate travel arrangements etc.
- Compose, type and format correspondence memos; prepare meeting materials; forms, spreadsheets, tables, charts, and presentations which are often confidential in nature.
- Accept receipts and invoices for expenditures for VPs authorization; reconcile expenses and prepare vouchers for payment; open, sort and screen incoming mail within an appropriate timeframe.
- Provide support for Board-related activities including, attend meetings, take, prepare, and distribute meeting minutes as required, and upload documents to a meeting information portal.
- Answer VPs telephones, using judgement and discretion, screen the calls and take detailed messages.
- Assist with the contract execution process and special projects as needed.
- Plan and organize workload to ensure established priorities are met.
- Manage Department Payroll utilizing KRONOS software.
You need:
- Associates degree or equivalent experience; 4-year degree preferred.
- Minimum of 5 years Administrative Assistant experience preferred in a Healthcare.
- Attention to detail, good judgement, and the ability to handle issues and information in the most confidential manner.
- Excellent written communication skills to compose, type, edit and proof business correspondence and prepare reports.
- Proficient in the use of Microsoft Office Suite, specifically Word, Excel and Outlook, as well as One Drive, MS Teams, Drop Box, and Zoom.
- Strong interpersonal skills to deal effectively and courteously with a diverse group of internal callers, doctors, patients, and visitors as well as external contacts.
- The ability to prioritize conflicting needs, handle matters expeditiously, and proactively.
- The ability to follow through on projects to successful completion.
Pay Grade: 119
Job Type: Full-time
Pay: $55,000.00 - $80,000.00 per year
