EXECUTIVE ADMINISTRATIVE ASSISTANT
Founded in 1984, AQC Environmental Brokerage Services Inc. DBA Air Quality Consultants was founded to assist manufacturing businesses in permitting and compliance reporting to various local, state, and federal environmental regulatory agencies.
In 2015, AQC expanded its service offering and initiated an emissions brokerage firm. AQC’s emissions brokerage business provides consulting and brokerage services in the compliance and voluntary emissions market throughout the world. The company has a successful track record within the voluntary carbon offset credit markets, low carbon fuel standard credits, greenhouse gas compliance markets, and regional emission reduction credit markets throughout the US.

We are looking for a high-level, very experienced candidate that can help support our company’s major growth, while improving overall efficiency and performance. This candidate will be a go-getter, excellent at multi-tasking, highly organized and diligent, self-sufficient, and a great team player.
JOB RESPONSIBILITES:
- The primary function of this role is to be responsible for the processing of trades, including verifying the accuracy of trade details and executing the trade in the firm's systems.
- Ensure that trades are settled properly by coordinating with parties involved in the trade and that there are no discrepancies.
- Accounting: The back-office role maintains the firm's accounting records, including reconciling bank and brokerage accounts, tracking revenue and expenses, and preparing financial statements.
- Client support: The back-office team provides support to clients, including answering questions about account activity, trade confirmations, and account statements.
- Financially settling each transaction.
- Maintaining and organizing contract files and documentation.
- Ensuring compliance with contractual obligations and deadlines.
- Developing and implementing contract management processes and procedures.
- Communicating with stakeholders about contract status and any necessary changes.
- Responsible for maintaining financial records, processing invoices and payments, and assisting with payroll.
- Managing Vendor Set Up with new clients.
- If necessary, assistance with submitting Request for Proposals.
- Responsible for providing administrative support to CEO, including scheduling meetings, managing calendars, and handling correspondence.
- Main point of contact for the AQC’s office, ensuring office and executive operations run smoothly.
- Active presence in the office 2-3 days a week required. Other days can work remotely.
- Follow up on outstanding actions.
JOB REQUIREMENTS:
- 4+ years of experience as a Back Office Professional, Executive Assistant, Administrative Business Partner, or similar role.
- Advanced proficiency with Microsoft 365 Suite of Products, with a tendency to seek out technologies that optimize workflow.
- You consider yourself a true multi-tasker, are detail-oriented, and have strong problem-solving skills, with the ability to anticipate problems before they arise and craft creative solutions on the fly.
- You are hyper-organized and possess the ability to analyze and prioritize executive workflows, often using and interpreting data.
- You are a team player and are ready to jump in to help all AQC employees as needed.
Job Type: Full-time
Pay: $57,601.00 - $62,397.00 per year
