SUMMARY
The On-Call Event Support Staff assists in delivering events and programs that build revenue, foster relationships, and deliver on the Oregon Historical Society (OHS) mission. The On-Call Event Support Staff assists the event lead in delivery of events, primarily in the set up and strike of event layouts, and occasionally for coordination with vendors, assisting with client needs, and interfacing with guests. This position may occasionally function as Event Delivery Lead. This position ensures a highly positive experience for all assigned events, while ensuring OHS internal operations and procedures are represented and observed by rental clients and caterers. This position works approximately 15 hours/week, 4-10-hour shifts.
ESSENTIAL DUTIES AND RESPONSIBILLITIES
1. Supports Events and Operations Senior Manager and/or Event Coordinator with event delivery, including monitoring events to ensure safety of guests, staff, and museum property; obtains supplies as needed, and ensures OHS internal operations and procedures are observed.
2. Fulfills event set-up and take-down tasks of banquet furniture for event layouts, following the Banquet Event Order directions and schedules in a timely manner, as well as supports tasks during event delivery as needs dictate.
3. Occasionally provides minor custodial support of events, including having access to janitorial supplies if items run out during event delivery and minor clean-up of spilled catering items, and utilizing onsite laundry to clean linens used for internal events.
4. May occasionally serve as the primary point of contact to clients and vendors during rental events, providing timely and detailed information regarding OHS policies, procedures, and operations.
JOB DUTIES
- Works closely with OHS staff, volunteers, outside vendors, and contracted professionals to ensure compliance with program procedures and processes.
- Develops solutions and communicates them to relevant individuals when problems arise.
- Maintains direct communication with Events and Operations Senior Manager and/or Event Coordinator regarding events, including providing an event recap at the end of each event.
- Maintains punctual, regular, and predictable attendance for all assigned shifts.
- Works collaboratively in a team environment with a spirit of cooperation.
- Occasionally fulfills administrative duties in the Events office by helping with tasks such as organization, data entry, and filing.
- Maintains general knowledge of OHS’s venue and meeting spaces, inventory of furniture, and equipment that supports them.
- Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with coworkers, visitors, and volunteers and including the ability to communicate effectively and remain calm and courteous under pressure.
- Respectfully takes direction from supervisor.
- Willingness to work flexible schedules including weekends, holidays, and evenings.
- Performs other duties as assigned.

EDUCATION and/or EXPERIENCE
Requires a high school diploma, or equivalent, and at least two (2) years of experience in event delivery or related work or equivalent combination of education and experience.
Basic AV skills to provide light technical support for events. Familiarity with Zoom functions, live microphone level monitoring, and basic video and presentation formats preferred.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to communicate calmly and effectively under pressure.
COMPUTER SKILLS
Has advanced comfort with basic computer job skills including logging on to systems, ability to communicate by email, compose documents, enter database information, download forms, and preserve/backup important data.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
CERTIFICATES, LICENSES, REGISTRATIONS
OLCC Servers Permit required, or the ability to obtain it (OHS can reimburse the cost of the class and test if it is passed).

General duties and responsibilities are routinely interrupted and require almost constant mobility. Daily activities may necessitate more significant periods of time standing, walking, and lifting.

The noise level in the work environment is usually moderate. The employee occasionally is required to work in outdoor weather conditions.
The position works in a fast-paced environment on an on-call basis, with an average of 6-8 events per month, and 4-10 hours per shift, working mostly on weekday and weekend evenings with some daytime assignments to support rental programs associated with events.
Must have the ability to be flexible if events and/or clean-up run later than scheduled.
