The primary function of the Sales & Events Coordinator is to oversee hotel sales systems including lead qualification and distribution, preparing reports and analysis, as well as providing administrative and logistical support to the Sales & Events team and to the Director of Sales and Marketing. Secondary to the administrative functions of this role, the Sales & Events Coordinator will be trained and developed to closely support, and ultimately oversee, the pre-arrival & on-site coordination for Rooms-Only groups to ensure exceptional service during their stay.

Responsibilities:

Assist Sales & Event team with administrative duties, including but not limited to:

  • Creation of contracts, proposals, banquet event orders, resumes, etc.
  • Serve as the departmental liaison between sales, events and all other hotel departments
  • Support creative projects, site inspections, VIP stays, travel preparations, special event invitations, etc.
  • Manage department calendars and schedules
  • Serve as backup to reservations, tasks include but are not limited to: VIP reservation requests, rooming list and/or block changes, specialty suite bookings, etc.

Oversee Sales & Events Systems:

  • Qualify and assign all incoming leads, ensure no inquiries are abandoned, and requests are communicated to appropriate departments.
  • Maintain all Group Sales and Event bookings to assure full details and accuracy, and serve as systems administrator for all Envision reporting and booking management functions
  • Prepare and Run weekly and monthly sales, event, and commission reports

Group and Event Logistics Support:

  • Will work closely with Meeting and Travel Planners to accommodate the needs of their Groups and VIPs
  • Proactively communicate with meeting planners by sending advance room lists and informing of approaching cut-off dates
  • Work closely with Reservations & Event Managers to flag groups that are about to fill their room block or severely behind pace
  • Participate in EO and Resume meetings, as needed, to review and convey all pertinent information to appropriate operations personnel for incoming groups and events

Qualifications

  • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work with a minimum of supervision
  • A true desire to satisfy the needs of others and a team player in a fast paced environment.
  • Excellent time management and organizational skills
  • Refined verbal and written communication skills.
  • Must be able to establish professional relationships within the hotel and manage confidential information.
  • Strengths must include knowledge of Microsoft Office Tools: Outlook, PowerPoint, Excel, Word.
  • At least 1 year of related hospitality experience.
  • Flexibility in work schedule a plus.

  • Thompson Seattle colleagues begin accruing Vacation Time on their first day of service. At six months of service, colleagues are vested in the time they have been accruing. Full Time & Part Time Colleagues are eligible for vacation time.
  • Hire Date Through Four Years – 10 Days or 80 hours
  • Five to Nine Years – 15 Days or 120 hours
  • 10 years or greater – 20 Days or 160 hours
  • Sick Leave:
  • Full time, part time and on-call colleagues accrue and have the right to utilize sick and safe time according to Seattle’s Paid Sick and Safe Time Ordinance. As a Tier Three employer all colleagues accrue one (1) hour of paid sick and safe time for every 30 hours worked starting on their hire date, however, these colleagues cannot use their accrued sick time until they have completed 90-days of employment with Hyatt
  • Extended Illness Days: unused sick and safe time in excess of 72 hours converted to Extended Illness Days at the end of each calendar year
  • Holiday Pay:
  • Full-time colleagues are eligible for holiday pay on their first day of employment. The paid holidays for eligible colleagues recognized by our hotel are: New Year’s Day, Memorial Day, Fourth of July, Labor Day, Thanksgiving Day, Christmas Day, and 2 pre-approved days for Floating Holidays.

    Wage Information

    Hourly role: The hourly rate for this position starts at $24.50 with an increase to $25.00 after 90 days.

    Hourly roles with five-year rates: The hourly starting rate for this position is $24.50 with an increase to $25.00 after 90 days. This position also has an established rate for colleagues who remain in the position for five years, which is an additional $0.50

    Hourly roles with seven-year rates: The hourly starting rate for this position is $24.50 with an increase to $25.00 after 90 days. This position also has an established rate for colleagues who remain in the position for seven years, which is an additional $0.75

    Hourly roles with ten year rates: The hourly starting rate for this position is $24.50 with an increase to $25.00 after 90 days. This position also has an established rate for colleagues who remain in the position for ten years, which is an additional $1.00
