Director of Operations for Wedding Event Facilities

MUST HAVE WEDDING EVENT INDUSTRY EXPERIENCE

We have an exciting opportunity for a talented Director of Operations, report directly to ownership.

In this newly created role, our Director of Operations , will have a fantastic opportunity to impact the organization’s success, and will be a key member of our Senior Leadership team. Our new Director of Operations will manage the following vital functions for us:

Financial Management

· Approves all vendor invoices.

· Reconciles all final bills and ensures any refunds are provided, if necessary.

· Reviews costs and revenue at bars to ensure proper accounting of alcohol and enforces set pouring standards.

· Monitors costing on all menu items.

· Manages vendor list and maintains vendor relations.

· Creates yearly operational budget.

· Evaluates monthly P&L statement and provide analysis of performance.

HR Management

· Reviews with the management team, staffing and training levels to ensure event runs smoothly.

· Creates short-term strategies to manage the increase in demand during peak season.

· Recruits, interviews, and selects employees to fill vacant Event Manager positions.

· Responds to inquiries regarding company policies, procedures and programs.

· Ensures employee annual performance reviews are completed.

· Advises HR and upper management in appropriate resolution of employee issues.

· In coordination with your leadership team, organizes training programs for employees to update their knowledge on relevant regulations and learn proper food service skills.

Client Relations

· Works closely with Sr Event Producer to ensure prompt resolution to client complaints and/or queries.

· Monitors surveys to ensure client satisfaction.

Operations

· Brings inspiring leadership with a focus on team building and development to ensure a synergistic and motivated team energized to execute events with excellence.

- Reviews the Banquet Event Orders to ensure we are fully prepared for the events in the upcoming weeks

- Inspects venues to ensure Event Managers are performing their closing checklists.

- Directly supervises the Operations and Event Managers

· Conducts weekly Operations meetings.

· On site for least 4 events per month for quality control.

· Monitors inventory and breakage through monthly inventory checklists.

· Supervises group food tastings every quarter; acts as host for evening; analyzes survey results.

· Conducts quarterly audits to identify areas of waste and creates programs to reduce expenses

· Identifies areas for advancement in technology that will enhance efficiency, such as the security systems, POS systems, etc.

· Regularly inspects departmental checklists for event producers, event managers and culinary to ensure they are following company procedures and protocols.

· Maintains management guidelines by preparing, updating and recommending operations policies and procedures to President.

Qualifications:

Ø Bachelor’s degree helpful.

- Wedding event planning industry experience required.

Ø Knowledge of management and experience in organizational effectiveness and operations management and implementing best practices.

Ø Demonstrated leadership and vision in managing groups, major projects, and new initiatives.

Ø Familiar with budgets.

Ø Excellent interpersonal skills and a good people manager, open to direction and collaborative work style.

Ø Must be proficient with Microsoft office suite.
