Make rounds upon arriving: check outside of building & playground to make sure everything is clean & safe. no trash on ground, no toys left outside. Check inside building, make sure pull paper towles, tissue, soap, trash bags, gloves, are all available and in holders. Employees are all in scrubs or BHG T-shirt with slacks. Parents are signing in.Create Error correction for missed swipes to turn in to DHR every Monday morning by 12pm (compare the tas report to the master enrollment, and the daily sign in to make sure the parent signed the children in for the days in question, and that the child was on the master enrollment for the week in question, lastly, copy the daily sign in sheet that reflects the time and signature of the parent for each day of the week). MAIL TO ALABAMA DEPARTMENT OF HUMAN RESOURCES CHILD CARE SERVICES DIVISION, 50 N. RIPLEY STREET, P.O. BOX 304000, MONTGOMERY, AL 36130-4000Make sure payment amount on master enrollment matches the tas report, make sure every child on the TAS report is on the master enrollment & smartcare, and class enrollment every Monday Run (unmatched checkin/out report) missed swipes report every morning, then fix missed swipes as parents arriveRun Provider Authorization report every morning in TAS and see who all swiped in and out (compare list to master Enrollment children whom names are highlighted in yellow, and make sure all children on child care swiped in for the day)Review employees time in Paylocity every morning and make corrections as neededMake sure every CHILD is signed in and out everyday by parent, no initials allowed.Perform daily attendance check based off class enrollment form at 10am, 2pm and 6pm & notify Terrence of countMake sure everyone on childcare swipe in and out everyday (their name is highlighted in yellow on class enrollment form) Everday, make sure all children that are FT/AS on the master enrollment are swiped in for fulltime everyday Remove children that no longer attend from the master forms & deactivate them in smartcare/childcare mgr after calling hotline 334-207-2962Call Parents after children have missed 3 days, and report findings to hotline 334-207-2962Update late enrolled children list daily (children who stay after 6pm)Enter food and supply count on food order spread sheet in google sheets evbery Friday morning by 10amFacilitate break assignments & make sure meals are served a listed daily Make sure emergency contact list is updated daily & posted on office door or classroom area.Enter all new children in smartcare & on the master forms in excel in Google Docs the same day they start, and that changes occurweekly: make sure all the children are listed on every form: master enrollment, class enrollment, bus route, extended stay list, daily sign in, and smartcareEveryday complete daily attendance form for food program, after making sure everyone is signed in and out daily (make sure you use the tally sheet in childcare manager when counting children for meals, this form will be needed to do the production and to enter meal count on the food program spread sheet in excel) and turn it in everyday for trina to audit.Everyday comlplete daily production, based off what was served on menu, while using the food itemization form to calculate how many servings are in each food item (the tally sheet must be referred to for proper serving count) and turn it in every week to corporate office Take pictures of new employees & children and post of board daily or as they enroll Everyday Monitor meals to make sure we are serving what's on the menu, and the correct portions are being served, everyone has to get all components, especially milk, and the milk must be opened.(if something is being served that is not on the menu add it, and cross out what we are not serving).Everyday: send original IEF, and copy of child's preadmission record to home office every week for the CNP for every new child (all blanks must be completed on application or have N/A on it), then have parents complete new IEF and Enrollment form first week of September every year.AT 6pm everyday make rounds and make sure all 6a to 6pm children are gone, if not call their parents. Anybody that can't be reached notify hotline at 334-207-2962Everyday: make sure there is an IEF(income eligibility form) on file for every child in at the daycare(original to home office, keep copy in file)Every Wednesday by noon call hotline at 334-207-2962 and go over delinquent payments from smartcare (the director should have checked with al parents who haven't paid their bills and got confirmation when and how much they where paying, and when the balance is going to be paid in full)Create employee schedule every Friday, and pass out to employees by 11am AFTER APPROVAL BY EXECUTIVE DIRECTOR, THEN PUBLISH IT. Everyday, make sure all chemicals are in cabinet and the cabinet is locked, and all electrical plugs have a safety cover if it didn't come with one.Make sure bulletin boards are decorated according to season/holiday as they occur (ex easter, xmas)Take pictures of activities and post them on facebook every week.Order Mother Goose curriculum by 20th of every month, after verifying quantity with hotlineSign employees up for educational classes at family Guidance every month, after verifying with hotline Make sure all employee and children files are complete according to checklist upon hire, and throughout enrollment Test Fire Alarm once a month, by performing a fire drill ( call fire company & let them you will be putting system on test for the specified time of the fire drill, then pull the alarm, monitor) complete fire drill form and post on front bulletin board Take all company Vehicles to get oil change every 3,000 miles or 3 months Annually: make sure vehicles are inspected every year, and DHR form is completed Make sure all children preadmission applications are complete. All questions must be answered or have N/A on that line Make sure all children files have shot record in it, except school age children Make sure all employee files are complete & noted in google drive in their employee files Add new employees to door system, alarm, paylocity , then remove them when terminating them. Print master enrollment every week and save it in a folder to complete TAS report in 3 weeks so you can know who was actually enrolled during that period. Preadmission form: make sure parents signed box for their child to be transported on page 2 (note, all afterschoolers, and kids going on field trips must sign these boxes in addition to field trip permission forms)Make sure closure dates are entered in the TAS system under closure dates every year, before the closure date comes. Upload the following documents in smartcare under family profile: child's preadmission record, shot record, IEF & provider communication notice from Family Guidance/DHR. Make sure the grease trap under the kitchen sink is cleaned out every month
