The Coordinator Department Operations, Research will work Full Time, Days and is responsible for providing high-level support to the Office of Research Administration. The Coordinator Department Operations is responsible for providing high-level support to the Bassett Healthcare Network IRB office. The Institutional Review Board (IRB) is responsible for the review of all human subject research conducted Bassett Healthcare Network. The Coordinator will assist the IRB Manager and Director with all administrative activities associated with processing applications for IRB review. Provides direct support to the Research Office of Sponsored Programs with the day to day management and tracking of Purchasing and travel requests. Responsible for working directly with the Purchasing department to ensure that all Purchase Orders are tracked and updated in internal databases. Responsible for scheduling meetings, taking minutes and providing support to the Administrative Director while maintaining all confidential data.
- The Coordinator Department Operations serves as the primary Coordinator for the office of Research Administration
- Schedules meetings as requested
- Attends and keeps minutes for appropriate meetings
- Assists with and handles confidential Budgetary and Human Resource documents.
- The Coordinator Department Operations provides administrative support to the Network office of Grants Management. Supports the Director, and Program manager in the development and processing of contracts for the Research Institute and tracking of grant related data for the organization.
- The Coordinator Department Operations serves as the primary Coordinator for the Research Office of Sponsored Programs.
- Assist in the processing of all electronic research applications for Committee review in accordance with the federal regulations.
- Assist in conducting electronic preliminary reviews of all IRB applications to ensure compliance with Bassett Healthcare Network’s IRB policies and federal regulations.
- The Coordinator Department Operations assists in responding to inquiries from investigators and study coordinators regarding research activities.
- Preparation of all electronic correspondence to researchers that convey the IRB Committee decisions and contingencies for IRB approval.
- Assist in preparation of all documents to researchers for continuing reviews, ensuring that each one is completed and returned.
- Assist in maintaining in IRBNet the Forms and Templates Library for researchers and IRB members.
- Assist in sending out notices and maintaining educational requirements database for investigators and personnel participating in research studies, including Good Clinical Practice (GCP).
- Assist in revisions to Protection of Human Subjects Handbook and Standard Operating Procedures for the IRB
- Assist in preparation of continuing review materials for board meetings.
- Assist researchers and study personnel with IRBNet registration processes, as well as submitting new studies and subsequent packages.
- Attends and keeps minutes for appropriate meetings
- The Coordinator Department Operations assumes responsibility for continuing education by maintaining competency in programs required for daily responsibilities, including clinical information systems and office automation systems.
- Attends required in-services as requested by supervisor.
- Identifies need for computer training or refresher courses and attends as necessary
- Attends 85-90% of all staff meetings, reviewing minutes of any meetings missed with no more than 1 exception per year as measured by supervisory audit.
- Establishes and maintains departmental recordkeeping and filing systems. Classifies, sorts, distributes, and/or files correspondence, articles, mail, records and other documents.
- Maintains accessible, current and accurate files as measured by supervisor’s random review of files.
- Incoming correspondence is processed in a timely manner as observed by manager and utilizing peer feedback.
- Handles outgoing mail, adhering to departmental time frames as observed by supervisor.
- The Coordinator Department Operations ensures that all files are available for prompt retrieval of information as observed by supervisor.
- Performs similar or related duties as requested or directed

Education:
- High School Diploma or GED required.
- Associate's degree or two years of higher education in business or related field preferred.
Experience:
- Minimum two years administrative assistant experience.
- Bachelor's degree may be substituted for one year of work experience.

Physical Requirements:
