Coordinator- Tutor Support Services

Harold Washington College currently has an opening for a full-time Coordinator for Tutor Support Services. This position is responsible for managing the tutorial assistance component of tutoring centers, including hiring, scheduling, supervision and evaluation of tutors; coordination of tutor training component; and maintaining accurate written and electronic tutoring records. The coordinator will work closely with faculty, tutors, and students receiving tutoring services. The coordinator will work collaboratively with College to Careers, Student Services, Adult Education, Continuing Education, and the Center for Teaching and Learning. DUTIES AND RESPONSIBILITIES
1. Recruits, interviews, recommends for hire, trains, schedules, and supervises professional and peer tutors in subject areas and provides and/or supervises outreach to students and professional staff.
2. Ensures certificates of attendance are completed correctly and in a timely manner.
3. Monitors daily operational tasks to ensure the program runs effectively and in support of the program’s mission.
4. Provides access to tutoring appointments, including evening and weekends and maintains an active tutor presence for courses.
5. Researches and implements best practices in academic support.
6. Assists with developing and monitoring the Tutor Program’s budget lines. Monitors internal budgets and expenditures for the program, prepares weekly reports, and organizes and maintains reporting systems.
7. Attends professional development meetings.
8. Coordinates regular department meetings with tutoring staff as needed and attends Office of Instruction meetings. Assists faculty and staff in resolving tutoring service’s needs.
9. Provides appropriate referrals to academic departments, Student Support Services, and other college resources as necessary to assist students achieve their academic goals.
10. Maintains records of activities, tracks trends in usage, prepares various reports as requested (Grades First, Blackboard, PeopleSoft, etc.).
11. Serves on campus committees as assigned and represents the interests of the Office of Instruction to college administration and faculty.
12. Attends new student orientations, open houses and recruitment events and assists in the registration of students during registration as needed.
13. In coordination with the Learning Resource Center, bookstore, and Office of Information Technology, develops and maintains references/resources for CCC students.
14. In collaboration with the District Office Marketing Office, develops and distributes publicity materials and keeps faculty, staff and students abreast of the Tutoring Program’s activities.
15. Performs other duties as assigned.
16. Adheres to CCC Customer Service Excellence standards.
QUALIFICATIONS
1. Bachelor’s degree in Liberal Arts, Guidance, Education, Management, STEM fields, or related field is required. Should possess five years of progressively responsible administrative and supervisory experience; or an equivalent combination of training and experience.
2. Management experience, preferably in an academic setting. Ability to staff tutors in all academic disciplines.
3. Experience in teaching and/or tutoring and strong knowledge in data gathering and reporting is desired.
4. Must be computer proficient with knowledge of a variety of software programs.
5. Exceptional interpersonal skills and a strong understanding of the higher education academic environment.
6. Ability to manage day-to-day logistics within a broad administrative structure in all regards.
7. Excellent verbal and written communication skills
8. Ability to work well as a team player; outstanding people skills; has a passion for student success.
9. Must be self-directed and innovative, able to assess current operations in an effort to improve the future goals of the District. Must be able to meet deadlines in a timely manner; detailed oriented; problem solving skills.
