The Clinical Data Entry Specialist is an integral part of the Counseling Center team and is critical to insuring the efficient administration of our behavioral health services. This position is responsible for the timely and accurate entry of all externally received client data, reporting of client data in the King County Behavioral Health and Recovery Division Information System (BHRD-IS), and scheduling intakes for all prospective clients. The Clinical Data Entry Specialist assists the Clinical Records Coordinator with quality management reviews on encounter documentation included in client files and reviews data for accuracy. When appropriate, the Clinical Data Entry Specialist will work with clinicians to ensure timely correction of errors. The Clinical Data Entry Specialist must adhere to HIPAA regulations as they pertain to protected client healthcare data.


This position is full time, 36 hours per week(non- exempt position), Hybrid, flexible schedule required with compensation being $25 hourly. Primary Responsibilities:

Data Reporting for BHRD-IS (20hrs/week)

  • Data Entry Submissions for Medicaid client data in the King County BHRD-IS within required timeline(s)
  • Enroll or discharge new hires and resigned staff within KC system
  • Monitor internal EHR for accuracy
  • Cross-reference EHR for significant dates, service length, and provider credentials compliant with CPT codes
  • Maintain SWYFS Counseling Roster for Clients and submit monthly report to supervisor
  • Review data for deficiencies or errors and coordinate data corrections with clinicians
  • Submit billing for psychiatric services on monthly basis

Referral Data & Intake Coordination (16hrs/week)

  • Data Entry submissions for all counseling & case management referrals
  • Daily check received referrals & screen for suitability to program, forwarding all potentially inappropriate referrals to Counseling Center Director
  • Support Clinical Records Coordinator with Group Referral Data Entry, Intake & discharge Paperwork at the beginning and end of new Groups
  • Intake Coordination including confirming interest in counseling with all screened referrals, collaborating with Intake Specialist to schedule all new client intakes and documenting all client engagement & outreach attempts prior to intake
  • Monitor, review, and submit all data in “KCICN Data to be Reviewed” folder in Sharepoint and respond to queries for information and access to relevant files

Others

  • Attend required meetings such as ISAC KC meetings monthly, weekly supervision, weekly team meetings and other meetings as required
  • Comply with data integrity and security policies
  • Maintain appropriate professional boundaries with clients, families, co-workers, and community resources.
  • Participate in agency racial equity work
Requirements:

Preferred Qualifications

  • Experience with Awards
  • AA or equivalent Degree
  • Experience working in Managed Care systems or Medical Billing Systems
  • Spanish – Speaking

Minimum Qualifications:

  • Intermediate MS Excel (charts, pivot tables, VLOOKUP)
  • Experience with MS Office and data programs
  • 1-2years Experience working with EHR systems
  • Ability to work with diverse groups and cultures
  • Ability to work as a team and independently
  • Effective written and oral communication skills
  • Excellent follow-up skills and high attention to detail
  • Ability to meet deadlines
  • Must pass a Washington State Patrol Criminal Background Check
  • Strong commitment to confidentiality and HIPAA compliance
  • Excellent organization skills, with an ability to stay focused on assigned tasks
  • Ability to learn how to decipher software code on error reports to analyze and determine discrepancies and inaccuracies
  • Ability to navigate multiple systems/sites to check and verify client and encounter information, errors, and data analysis
