Job description
Start Small is seeking a contract bookkeeper (up to 8 hours per week) to work closely with our CFO to manage our financial record keeping and reporting. We use a combination of Airbase (spend management), Quickbooks Online, and Excel spreadsheets to carefully record, track, monitor, and reconcile our income and expenses. The contractor would adopt an existing system of processes and financial controls to ensure our high standards of financial recording and reporting are maintained, in addition to making suggestions for future system improvements. The contract assignment does not require an individual to have an accounting qualification, but they will be highly adept at using both Quickbooks and Excel spreadsheets to record and report/present financial information, and they will have a sound understanding of accounting principles and concepts. This is a remote contract position, but with a preference for someone working in the New York/Tri-State area. Our hours of operation are 9 am and 5 pm, Monday - Thursday.
Note that this is a contract (1099) position.
Job responsibilities shall include, but not be limited to:
- Expense management: Reconciliation of spend management system (Airbase) to Quickbooks Online, receipt management and preparation of detailed monthly spend reports for the organization and its departments.
- Preparing monthly reconciliations: Bank accounts, brokerage accounts, Stripe, PayPal, payroll reports etc.
- Managing Quickbooks entries: Categorization of transactions, creation of sales receipts, invoices etc. and month-end journal entries for payroll, prepayments etc.
- Managing incoming funding: Creating and sending invoices, downloading donor platform reports and reconciling to income received, creation of detailed monthly income reports using Excel.
- Month-end reporting: Creation of month- and quarter-end budget versus actual, balance sheet, accounts receivable and cash flow reports.
- Annual financial audit preparation: Additional responsibilities in January - February as we prepare for our annual audit e.g. preparation of audit files, pulling together financial information and year-end reports for the audit team. This may require up to an additional 20 hours of work.
Skills, Knowledge and Expertise
- Experience with Quickbooks
- Highly adept at using Excel (including moderate complexity formulas, pivot tables)
- Understanding of accounting principles and/or past bookkeeping experience
