Job Description

This is a full-time role that will primarily focus on the billing process and generating invoices. The individual in this role will report directly to the Accounting Manager and work in our Rocky Hill office. The Billing Clerk has the important task of ensuring our accounting records are efficiently, accurately, and completely updated based on what’s been shipped. The individual in this role will need to communicate with satellite locations in order to accumulate all shipping documents that are needed to be billed.

Schedule

Monday - Thursday 8 am - 4:45 pm

Friday 8 am - 4 pm

Main Responsibilities

  • Adhere to work schedule and be able to report to work on time and work throughout the assigned schedule and shift
  • Work with satellite warehouses and accumulate all of the previous day's shipping documents
  • Create invoices within the accounting software
  • Provide copies of invoices to customers either via email or postal mail
  • Answer questions from customers regarding bills via phone or email
  • Reconcile and prepare reports to be given to senior managers on the current day's billing activity
  • Accurately identify which invoices require freight and sales tax to be charged
  • Assisting the Credit and Collections department in various collection efforts
  • Assist with related special projects, as required
  • Other duties, as assigned
Requirements:

Competencies & Requirements

  • High School Diploma or Equivalent
  • Excellent customer service, communication, and interpersonal skills
  • Proficient with Microsoft Office products – Outlook, Word, Excel
  • Data entry skills
  • Strong organizational and time-management skills
  • Ability to meet deadlines
  • Complete required safety training, perform tasks in a safe manner, and follow safety policies

Physical Demands

  • Sit for extended periods of time, stand as needed
  • May require walking primarily on a level surface throughout the day
  • Bending and reaching for files
  • Occasional lifting of up to 10 pounds
