Overview:

The Benefits Specialist is responsible for assisting in researching, proposing, implementing, and administeringthe day-to-day operations of Kura Sushi USA’s group benefits programs (group health, dental, vision, long-termdisability, life insurance, travel and accident plan insurance, Auto insurance, employment practices liabilityinsurance, and other insurances, 401K program, stock option program, and any other benefits the Companyoffers). This position also provides excellent customer service to all employees. The Benefits Specialist is responsible for assisting with research, reporting and compliance with State Leave of Absence and Disability Insurance laws and other local ordinances in a timely manner.

DUTIES:

ESSENTIAL FUNCTIONS:

Company Health Insurance Benefits

  • Coordinates transfer of data to external contacts for services, premiums and plan administration.
  • Documents and maintains administrative procedures for assigned benefits processes.
  • Ensures compliance with applicable government regulations. Ensures timeliness and accuracy of required reporting and fees.
  • Coordinates daily benefits processing. Handles enrollments, requests from EDD (e.g. unemployment,disability), COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, LOA, QDROs, QMCSOs, distributions, loans, hardships and compliance testing. Oversees maintenance of employee benefits files, maintains group benefits database and updates in HRIS.
  • Reconciles and verifies the calculation of monthly vendor invoices and processes payments. Reconciles and verifies employee billings and works with our vendors on monthly billing processes, collection of payments, enrollment changes and payroll refunds.
  • Provides customer service support to internal and external customers. Assists in developing and updating communication tools to enhance understanding of the company's benefits package. Assists in designing and distributing materials for benefits orientations, open enrollment and summary plan descriptions within required timeline.
  • Administers enrollment/termination of employees benefits in providers’ systems and handles any required paperwork for these actions.
  • Tracks ACA qualified part-time employees through the 12-month lookback reports and makes sure all eligible employees are notified of eligibility in timely manner.
  • Responsible for tracking employee leave records, including (FMLA, CFRA, etc.) and benefit payments for employees on LOA.
  • Maintains employee benefits files and updating of employee deductions.
  • Assists in the completion of benefit plan compliance requirements and filings including ACA, Form 5500 filings, non-discrimination testing, etc.
  • Maintains a high level of confidentiality regarding employee files, documents and employee personal health care information.

Other Insurance and benefits Responsibilities

  • Assists in 401K implementation and enrollment and support it as needed.
  • Assists in profit sharing (stock option program) enrollment and termination supports as needed.
  • Administers and supports “Commuter Support Program” in eligible locations
  • Assists in other projects as assigned by Benefits Manager.

Education/Experience:

  • Bachelor's or Associate’s degree or minimum two (2) years’ experience in human resources (particularly benefits).
  • Computer proficiency and technical aptitude with the ability to use all Microsoft Suite products
  • Experience with HRIS and benefits databases.
  • Experience with Benefit administration
  • Proven ability to work effectively in a team environment with associates.
  • Ability to manage several projects simultaneously while working under pressure to meet deadlines.
  • Strong analytical skills
  • Some Knowledge of all pertinent federal and state regulations, filing and compliance requirements,both adopted and pending, affecting employee benefits programs, including ERISA, COBRA, FMLA, ADA, Section 125, Medicare, COBRA, Social Security and DOL requirements.
  • Excellent communication and organization skills
  • Bilingual in Spanish is not required but preferred.

Language Ability:

Ability to effectively communicate with management in both/either Japanese and/or English. Ability to interact with all levels of management.
