Position Summary:

The Annual Meeting Program Coordinator is a highly motivated and detailed oriented individual with some experience supporting Scientific or Medical meetings. The Annual Meeting Program Coordinator will work under the direct supervision of the Senior Manager, Programs supporting the full life cycle of the educational program for the SIR Annual Scientific Meeting. Excellent customer service is a must. The position requires strong relationship-building skills with different stakeholders such as volunteers, organization leadership and internal staff pre-, during- and post-meeting. This is a great opportunity for a junior-level professional interested in increasing responsibility in project management, educational program development and communications.


Requirements:

Essential Functions and Responsibilities

  • Coordinate the development of all curricular content and planning materials for the SIR Annual Scientific Meeting (ca. 150 sessions).
  • Support all efforts confirming speakers and session coordinators for around 400 faculty by providing exceptional customer service and clear communication.
  • Coordinate the scientific abstract process through a CMS (Cadmium); review and make changes per the Annual Meeting Committee recommendation on the submission forms; answer any questions during the submission process, send reminders to not finalize submissions (over 1,400), assign reviewers to submission categories as part of the blind peer-review, and send submission disposition notifications.
  • Provide organizational and logistical support for poster and educational exhibit presentations from time of submission to presentation.
  • Implement all faculty communications and presentation logistics resulting in a seamless run of show pre-, during- and after-.
  • Provide on-site support to faculty at the meeting.
  • Maintain SIR Annual Scientific Meeting event website and app as directed.
  • Secondary Functions and Responsibilities
  • Assist the efforts of the physician-led Annual Meeting Program Committee; to include the preparation and dissemination of bi-weekly conference call agendas, supporting materials and minutes for committees and staff.
  • Collaborate with the JVIR and SIR Foundation department to provide needed information for the JVIR annual meeting supplement and SIR Foundation awards process.
  • Develop reports such as educational session evaluations, assessments and survey results as directed.

Knowledge, Skills and Abilities

  • Excellent verbal and written communication skills
  • Excellent customer service, problem solving, and judgement skills
  • Exemplary project management skills (ability to prioritize and attentive to deadlines)
  • CMS/LMS/AMS knowledge a plus
  • Cadmium knowledge a plus
  • Proficient in Microsoft Office Suite, relational databases and web applications

Education/Experience:

  • Bachelor's degree or equivalent business experience required.

Experience:

  • 1-3 years of experience in an administrative role, preferably working with medical education programs and continuing education
  • Experience in the development and implementation of education programs highly desired
  • Association experience preferred


Working Conditions and Physical Requirements: Use of phones and computers for extended periods. Utilize equipment and communication technologies for conference calls and teleconference meetings/webinars. Requires mobility to move and travel away from the remote setting. Ability to lift 25 pounds. Frequent interaction with internal staff and physician members via phone, in person, email, and other mediums.
