Alaska Overview

ConocoPhillips is Alaska’s largest crude oil producer and largest owner of exploration leases, with approximately 1.6 million net undeveloped acres at year-end 2021. The company produced an average of 197 thousand barrels of oil equivalent per day in 2021. ConocoPhillips has major ownership interests in two of North America’s largest oil fields, both located on Alaska’s North Slope—Kuparuk, which the company operates, and Prudhoe Bay. Additionally, ConocoPhillips operates the Alpine Field located on the Western North Slope. The company has an ownership interest in the Trans-Alaska Pipeline System (TAPS) and owns/operates the Polar Tankers fleet.

Description

If you are selected as the Administrative Assistant in Anchorage, AK you will provide general personnel and administrative support to the Alaska Human Resources (HR) team. This role reports to the HR Manager, Alaska. A key component of this role is to balance and maintain confidential information and data. In addition, you must be proficient in Microsoft Office Suite (Word, Excel, SharePoint, and PowerPoint). Experience using SAP and/or Workday is recommended.

You may be eligible for the voluntary hybrid office work (HOW) program that is designed to provide employees with flexibility while maintaining the advantages of in-person engagement.

Your responsibilities may include:

  • The administrative assistant works closely and partners with the HR Associate in Alaska to ensure coverage, consistency, and HR team priorities are met
  • Provides administrative support to the Human Resources team
  • Publishes internal organizational announcements
  • Assists with various projects across the Human Resources function as assigned (e.g., biometric screenings, benefits roadshows, summer intern program, and more)
  • Schedules team meetings, events, and HR training sessions to include logistics planning, catering, materials and documentation
  • Partners with the HR Associate to ensure successful onboarding and offboarding of employees
  • Processes various HR related forms (organizational and personnel changes) in Workday
  • Answers HR related questions from employees and supervisors.
  • Single point of contact for HR records management in accordance with ConocoPhillips policies and guidelines
  • Serves as a member of Incident Management Team (IMT), HR organization
  • Uses various systems: MS Office, SAP, Workday, SharePoint, Cross-Application Timesheet (CATS), etc
  • Order team supplies as needed
  • Other administrative duties as assigned

Qualifications


Basic/Required:

  • Must be legally authorized to work in the United States as a U.S. citizen or national, or an alien admitted as a permanent resident, refugee or asylee
  • 5+ years administrative experience
  • Intermediate proficiency with Microsoft O365 applications: Excel, Outlook, PowerPoint, SharePoint, Teams and Word

Preferred:

  • Associate degree or higher in business administration, human resources or related field or foreign equivalent
  • 1+ years of experience working in HR
  • Basic proficiency with SAP and/or Workday
  • Ability to maintain a high level of confidentiality
  • Strong attention to detail and ability to maintain accuracy in a fast-paced environment
  • Able to efficiently balance multiple tasks and priorities and meet deadlines
  • Effective written and verbal communication skills
  • Responds resourcefully, flexibly, and positively when faced with challenges and demands
  • Takes ownership of actions and follows through on commitments by holding others accountable and standing up for what's right
  • Delivers positive results through realistic planning to accomplish goals
  • Builds effective solutions based on available information and makes timely decisions that are safe and ethical
