Gurnick Academy of Medical Arts is a leading Bay Area private healthcare college offering an extensive variety of nursing and allied healthcare programs such as; Vocational Nurse, Diagnostic Medical Sonography (Ultrasound Technology), Radiologic Technology, MRI Technology, Medical Imaging, RN Nursing Program (RN to BSN Pathway) Psychiatric Technician, Phlebotomy Technician, Medical Assistant, Physical Therapist Assistant, Nurse Assistant and Dental Assistant.

We are currently seeking an Admissions Associate Advisor, Full-time (Remote-Online) for our Corporate Campus

Basic Function

The Admissions Associate Advisor [AAA] supports the Admissions Manager and Advisors in processing and follow-up of admissions lead and prospect generation including assisting with administrative and admissions processes. AAA is considered both a career counselor and initial assessor of student appropriateness for Gurnick Academy programs. The AAA assists in the primary screener for student acceptance through using a combination of tools including interviewing, initial competency test scores, review of experience, and review of prior academic requirements. The AAA will ultimately require the knowledge of each program at their campus and be prepared to offer counsel to prospective students on both the viability of the program for the student and ensuring the students stated goals are in alignment with the career opportunities presented by the program the student is interested in.

Essential Job Duties:

  • Review and call web inquiries and call-ins that were screened by the FDR as assigned
  • Set appointments and information webinars with prospective students
  • Prepare for online webinars by uploading handouts, creating surveys, and other duties as needed
  • Process official transcripts and verify credit granting by obtaining appropriate documentation and submitting documents to Program Director/Coordinator for approval
  • Ensure Campus Director signs enrolment agreements as directed by the Admissions Manager
  • Prepare for upcoming registration/enrollment appointments by ensuring data has been entered into electronic Lead and Registration forms.
  • Create student folders and put all necessary documents in folder, make file labels, and input onto the "Enrolled List"
  • Call all enrolled students to verify if they will still be attending pre-requisites and core program (inform Admissions Manager if anyone is dropping to replace the candidate if possible)
  • Prepare all handouts for the Prerequisite Orientation and Core Program Orientation
  • Assist Admissions with all interview documentation for RT, UT, MRI and MA student panel interviews. Sends e-sign forms for resume, essay and interview scoring.
  • Collect registration fees and any outstanding documents and anything noted under special circumstance, on or before the 1st day of class if necessary
  • Follow up with No Show appointments, outreach to new leads, contacts, prospects. Send text and email campaigns.
  • Ensure the lead list is contacted in a timely manner (forwarded leads from the FDR and other leads generated from the website, community events, and career fairs). Ensure that all newly entered leads are promptly emailed and assigned to Advisor for telephone contact.
  • Collect pre-requisite fees and any outstanding documents on the 1st day of prerequisite class if necessary
  • Speak to students regarding outstanding payments before the core program starts
  • Verify all documents are in the student files prior to core start
  • Conduct interviews with candidates as needed during peak enrollment periods
  • Maintain drop log as student paperwork is completed and sent to Accounting
  • Support re-enrollments by checking for prior balances (with Accounting), getting Campus Director to sign new enrollment agreements, and creating new student folder
  • Assist AA with all interview documentation for student interviews
  • May meet with students in the Phoenix area to complete Registration documentation, prepare for in-person interviews and meet with faculty and program staff periodically as scheduled.
  • Assists potential students by supplying all necessary forms for admissions/registration.
  • Participate in scheduled evaluation and goal setting meetings with direct manager
  • Participate in community functions and career days as requested
  • Assigned duties as required by their direct manager
  • All other duties as assigned

Requirements:

  • Associates Degree Preferred
  • Experience working within an Online admissions environment
  • Recruitment, interviewing and selection skills and experience
  • Experience working with an applicant tracking system
  • Strong interpersonal skills developed within a counseling and advisory capacity
  • Excellent time management, detail-orientation and team player skills

Performance Measures:

  • Weekly targets for New Lead contacts, New registrations and New enrollments are met

Salary: DOE

Job Type: Full-time

Pay: $18.00 - $23.00 per hour
