CLASSIFICATION: Administrative Support Specialist
GRADE: Non-Exempt; Regular Full-time
JOB LOCATION: Eglin AFB/Main, Bldg. 958
ESSENTIAL FUNCTIONS: Responsible for specific administrative functions in areas such as cost accounting, contracts, human resources, employee benefits, electronic data collection. Works under limited supervision performing non-routine tasks and will be required to exercise good independent judgment. May be required to perform Haz-Mat and tool room inventories, updating of local databases, and collecting/posting daily mission schedules. Will be required to perform housekeeping tasks. Will be responsible for posting notices on bulletin boards as well as processing and distributing technical directives. Creates and closes work orders for various groups within Range Support and submits internal work orders to other groups on the contract. Will be responsible for issuing and collecting vehicle trip tickets monthly. Experience working in a construction office and Microsoft Office is desired.
GENERAL DUTIES: This position will be in Range Services. The job functions include the application of computer word processing skills to prepare documentation, reports, and correspondence in addition to data preservation and searches. Duties include organization of employee travel reservations including air travel, hotel, and rental car, in accordance with contract requirements and individual task directives. Required to prepare expense statements and maintain general reports. Required to compile, verify, and audit expense statements associated with TDY. Required to perform timekeeping-record functions for a specific work location, group, or department. Daily activities will require coordinating data, reports and information on special projects and making these available to management. Applicants will have to be able to work in a high-volume multitasking atmosphere. Required to use personal computer and calculator in preparing expense statements and maintaining general reports. Required to perform timekeeping-record functions for a specific work location, group, or department, help shop employees with training due dates, handle TMDE responsibilities.
OTHER DUTIES: Will be required to perform general office duties such as filing, compiling reports, answering telephones, conveying messages. Will assist with tracking inventory, schedule tracking, WOC inputs, etc. Will be required to operate copiers, word processors, adding machines, calculators, and personal computers. Must possess personal initiative, good judgment, and be able to work well with co-workers and a wide variety of both internal and external customers under minimal supervision.
EDUCATION/EXPERIENCE REQUIREMENTS: Formal business training is required or five years’ experience in a clerical or administrative environment. Must have extensive knowledge of general office procedures on a variety of subjects, be familiar with good office decorum, perform a wide variety of clerical duties, and assist with a variety of administrative matters. Must possess excellent communication skills, computer word processing skills to perform data searches, prepare complex documents and reports, as well as verifying reports for accuracy and completeness. This position requires strong computer skills to include MS Word, Excel and Access and the ability to multi-task; as well as knowledge of procedures, operations, functions, and commitments used to perform procedural and administrative work in an office. Experience with PIMS is desired. Experience with CONCUR Travel Module is desired.
OTHER REQUIREMENTS: Incumbents must have good oral and written communication skills in the English language as well as demonstrate a high degree of personal initiative and personal responsibility. This position requires a Secret security clearance. Candidates must be eligible to obtain and maintain a Secret security clearance. Supports E-OMS operational objectives. Observes company Quality, Safety, Environmental, Security and Administrative policies; supports Process Improvement.
WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area.
PHYSICAL DEMANDS: This position will be subject to substantial movements (motions) of the wrists, hands, and/or fingers. Must be able to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal; and requires very little lifting or moving of heavy objects or materials and require very little lifting or moving of heavy objects or materials. May require sitting for long periods of time.
