Job description

Under general supervision, the Administrative Coordinator performs a variety of complex technical, clerical, and administrative duties in support of the entire Nutrition Division. This position requires the ability to multi-task, plan an organized work schedule, effectively use computers and departmental software, and perform daily administrative tasks efficiently and productively.

NOTE:
This position will be located at Willow: 6162 S Willow, Greenwood Village, CO 80111.

Duties

  • Performs overall administrative duties to support the Nutrition Division and management team, including scheduling meetings, setting agendas, completing meeting minutes, publishing division communication reports, managing distribution lists and managing translation requests.
  • Invoice Administrator for the Nutrition Division, which includes monitoring and tracking incoming invoices, establishing a timeline for payment, data entry in SAP, and budgetary tracking of GL accounts and program coding.
  • P-Card Administrator for the Nutrition Division, which includes making program and division purchases, coordinating travel and expense reimbursements, reconciling monthly P-Card statements, and adhering to purchase card policies and procedures.
  • Primary point of contact for asset management of the Nutrition Division programs and grant funded equipment and supplies.
  • Public Comment Administrator during Board of Health meetings.
  • Develop communications (electronic newsletters and flyers) for notification and educational purposes for the Nutrition Division Programs.
  • Division liaison to other divisions and departments within the agency including but not limited to procurement, communications, partnerships and planning, administration/finance and executive office.
  • Secondary Qualtrics Administrator for the Nutrition Division.
  • Serves as backup to other division Admin Coordinators and duties assigned, such as Security Coordinator and PAF Coordinator.
  • Serves on and may lead cross divisional planning and infrastructure teams as a representative of the Nutrition Division.

Emergency Preparedness and Response
Responds, as required, to support public health emergencies, incidents, and events. Employee participates in all exercises and drills on emergency preparedness and response, as required. Completes trainings identified as appropriate for this level employee and initiates corrective actions and responses pursuant to Federal, State, and Local laws, statutes, and regulations.

Skills, Abilities and Competencies:
  • Basic skill: Microsoft Word, Excel, Outlook, PowerPoint.
  • Broad knowledge of division and department operations and policy.
  • Ability to maintain a high level of discretion and manage confidential information and sensitive client/employee issues.
  • Thorough knowledge of basic office methods and procedures, spelling, punctuation, and grammar.
  • Ability to operate routine software and business applications, including but not limited to word processing, spreadsheets, and databases.
  • Ability to prepare correspondence on routine matters, perform routine office management skills independently, and communicate effectively and follow instructions in both written and verbal English.
  • Ability to establish and maintain effective working relationships with superiors, co-workers, and the public and maintain a professional demeanor at all times.

Requirements

Education and Experience:

  • HS or GED equivalent.
  • 3+years of administrative experience; with government and/or public health experience included.
Any equivalent combination of education and work experience that satisfy the requirements of the job will be considered.

Preferred Experience:
  • Associates or bachelor’s degree.
  • Public Health experience.
  • Bilingual in Spanish.

WORK ENVIRONMENT:
Work is generally confined to a standard office environment.

PHYSICAL DEMANDS:

  • Spends 90% of the time sitting and 10% of the time either standing or walking.
  • Occasionally lifts, carries, pulls or pushes up to 20 lbs.
  • Occasionally uses cart, dolly, or other equipment to carry in excess of 20 lbs.
  • Occasionally climbs, stoops, kneels, balances, reaches, crawls and crouches while performing office or work duties.
  • Verbal and auditory capacity enabling constant interpersonal communication through automated devices, such as telephones, radios, and similar; and in public meetings and personal interactions.
  • Constant use of eye, hand and finger coordination enabling the use of automated office machinery or equipment.
  • Visual capacity enabling constant use of computer or other work-related equipment.
