POSITION SUMMARY
The Administrative Assistant is responsible for assisting the High School Principal, Assistant Principal and the Academic Dean. The Administrative Assistant will support general activities of the school office including maintenance of an orderly work environment, reception area and answering general school phone lines. They will also supervise student assistants and parent volunteers.
ESSENTIAL FUNCTIONS

DUTIES
1. Calendar and Teacher Administration:- Coordinate hiring procedures for teachers and substitutes in conjunction with CRISTA Human Resources.
- Initiate and process paperwork, school policy, forms, budgets, faculty memos, discipline and probation letters, academic letters and contracts and other school business originating from the Principal, Assistant Principal, Academic Dean, counselors and faculty.
- Reconcile corporate credit card receipts in WORKS program each month for a variety of staff and administrators.
- Produce quality pieces of written communication for the Principal.
- Handle all stipends for high school staff including typing contracts and securing appropriate paperwork for each stipend (W-9, criminal checks, child abuse documents etc.) to ensure payment.
- Ensure timely payment for weekly chapel speakers and worship leaders.
- Maintain calendars for the Principal, Assistant Principal, Academic Dean and two counselors.
- Schedule all admission interviews and testing. Send acceptance or rejection letters, coordinate class registration and summer reading for new students.
- Secure and schedule substitute teachers and ensure that all substitutes are paid.
- Prepare Faculty Handbook each summer making sure all changes and additions are complete.
- Compile, edit and assemble the high school Course Offering Book each year.
- Keep High School Master Calendar, coordinate and schedule all high school events. Organize yearly meeting in spring to plan master calendar for the next school year.
- Plan and execute events, like the Principal’s Coffee Breaks and twice yearly PIN nights, etc.
- Coordinate and trouble shoot parent/teacher conference appointments twice per year.
- Plan and implement at least four staff luncheons per year for 50 plus faculty and staff members (two parent teacher conference days and in-service days as directed).
- Coordinate all aspects of Awards Night in May. Collect the names of all recipients, send individual invitations, set and clean up decorations, refreshments, layout and production of programs.
- Coordinate all aspects of graduation including diplomas. Order caps and gowns, notify parents and students of dates, times and instructions; layout and production of program; decorations; writing the commencement script for administrators; prepare college information for marketing purposes; arrange volunteers; coordinate distribution of tickets; reserved seating; candle lighters; robes for teachers etc.
- Maintain professional atmosphere in the office by keeping all public areas of the office neat.
- Answer phone calls for the Principal’s office, screen and redirect calls which could be more appropriately served through other personnel.
- Assist the main office with the student window and phones in emergencies.
- Troubleshoot and problem-solve issues to provide exceptional customer service to students, parents, faculty and staff.
- Provide a full range of administrative support to the Principal, Assistant Principal, Academic Dean and two counselors as needed.
- Maintain records and files, including but not limited to prospective students, teachers, substitutes and payroll information. Maintain the confidentiality and integrity of the information.
- Attend staff and administrative team meetings when appropriate and record and type minutes when requested.
- Serve as a member of the administrative team continuously seeking to improve existing processes to ensure maximum effectiveness.
- Order instructional or office supplies as needed.
- Coordinate and help keep the faculty lounge clean and supplied.
- Supervise student T.A.’s and parent volunteers.
- Assist administrators and counselors with miscellaneous tasks from preparing correspondence to event planning.
- Submit work requests from faculty and staff to the Facilities department.
- Prepare and/or process vendor contracts in conjunction with the CRISTA Legal Department.
- Coordinate spring break and summer mission trips with the Principal. Help set up five pre-trip meetings and two Chapels. Provide each trip leader and student with appropriate paperwork and assist with travel arrangements.
- Assist administrators, Academic Dean and counselors with pre-registering students for classes for the next school year.
6. Perform other related duties as assigned.
Conduct that reflects well on CRISTA Ministries and aligns with its mission, vision, Statement of Faith and Christian Community Representative Commitment (CCC).

EDUCATION
- High School Diploma or Equivalent
EXPERIENCE
- Two years of experience as an Administrative Assistant.
LICENSURE / CERTIFICATION
- CPR
- First Aid
- AED Training
SOFTWARE / EQUIPMENT KNOWLEDGE
Microsoft Word, Excel, Publisher, Outlook and WISPC

- Office is located on the main floor of the Powerhouse building.

PREFERRED QUALIFICATIONS
EDUCATION
- Bachelor’s degree from an accredited college or University recognized by the United State Department of Education or equivalent.
