Job Summary
The Vehicle Systems Division (VSD) sits at the center of the ideas and data behind current and future systems supplying innovative research and development; technical evaluations during the acquisition process; conceptual and detailed design; assembly, integration, and test; and operational support. Comprised primarily of highly-trained mechanical and aerospace engineers, VSD provides national expertise in the areas of vehicle engineering; guidance, navigation, and controls; robotics; electro-mechanical devices; embedded systems; fluid mechanics; propulsion; thermal control; orbital mechanics; mechanisms; structures; structural dynamics; and dynamic environments.
The Guidance and Control Subdivision within VSD consists of four Engineering Departments and 130+ engineers. We are seeking an Administrative Assistant II, who performs a wide variety of key administrative and operational tasks for a group/division/sub-division/location. The individual provides collaborative administrative support to ensure effective and efficient operations. This person executes tasks, processes and procedures quickly while working closely with leaders, colleagues and customers across the enterprise.

The selected candidate will partner with the subdivision management team as a strategic partner in ensuring the efficient operation of the organization. The candidate will analyze data to inform decisions that are aligned with the strategic direction of the organization, foster essential connections and relationships that enable the growth of the subdivision, and apply advanced technological fluency across a wide range of tools and platforms.
This is a full-time position based in El Segundo, CA that can support telework multiple days per week, as the business needs allow.

What You’ll Be Doing
  • Internal and external meeting and event support and execution (i.e., reserve conference rooms, AV requests, visitor logistics, catering)
  • Books travel and processes various types of expense reports
  • Executes onboarding requirements
  • Acts as the Functional Time Administrator (FTA) for the group/division
  • Manages, coordinates, submits, and tracks the timely procurement of equipment and services necessary to accomplish sub-divisional objectives and targets
  • Collects, organizes, and communicates financial metrics to inform business decisions
  • Submits incoming and outgoing VARs/clearances
  • Office equipment management to include inventory tracking
  • Generates reports and documents (compile/edit/publish)
  • Analyzes workflow processes and recommends improvements
  • Improves and ensures on effective processes/systems that provide superior organization, efficiency and industry-lead technical best practices
  • Acts as point of contact with external and internal customers to represent subdivision interests
  • Collaborates with admins within the group, division, subdivision, and across the corporation to achieve coverage and increase efficiency
  • Other duties as required
What You Need to be Successful
Minimum Requirements:
  • High School Diploma, GED or equivalent
  • Fundamental administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading
  • Technological fluency across a wide range of tools and platforms such as Microsoft Office applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel and meeting tools such as Teams and Zoom
  • Fundamental communication & interpersonal skills: collaboration, resiliency, problem-solving, emotional intelligence, judgment, and decision-making, across all levels of the organization
  • Ability to handle sensitive information appropriately
  • Ability to handle multiple priorities and projects
  • Ability to work independently and/or cooperatively with a team to deliver innovative solutions and resolve issues
  • Demonstrated flexibility and ability to adapt to changing organizational needs
  • This position requires the ability to obtain and maintain a security clearance, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance.
How You Can Stand Out
It would be impressive if you have one or more of these:
  • Prior experience as an admin or similar role
  • Familiarity with enterprise software packages such as Concur, Workday, JIRA, Confluence
  • Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
  • Experience with data analytics tools and ERP products such as Tableau and SAP
  • Experience with classified data handling
  • A current and active security clearance, which is issued by the U.S. government is highly preferred. U.S. citizenship is required to obtain a security clearance.
We offer a competitive compensation package where you’ll be rewarded based on your performance and recognized for the value you bring to our business. The grade-based pay range for this job is listed below. Individual salaries within that range are determined through a wide variety of factors including but not limited to education, experience, knowledge and skills.
