Oil States is currently looking for qualified candidates for the position of Administrative Assistant II In our organization, the Administrative Assistant II has a critical and challenging role in helping achieve innovation and meeting our commitments.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Support Aerospace management and other department managers with administrative tasks to support sales and production functions.
  • Archive document flow in Master Control.
  • Process purchase order and transfer order receipts in G2.
  • Support A/P with purchasing receipts and invoicing documentation.
  • Provide support to quality inspection personnel.
  • Assist the Program Manager with Small Business Plan cost gathering and reporting.
  • Create and maintain logs of G2 purchase order requisitions and transfer orders.
  • Provide support for tracking and expediting inventory purchases and certification requirements.
  • Enter and reconcile Kronos labor.
  • Provide support to customers, vendors, and Arlington complex employees.
  • Coordinate ordering of office equipment supplies and reporting office equipment usage.
  • Process software shipments via UPS and FedEx.
  • Assist with customer//vendor meetings.
  • Scan and archive customer documentation submittals.
  • Provide support for ordering and maintaining office supplies and equipment items.
  • Monitor and stock office supplies.
  • Support cross-training of department procedures/processes.
  • Perform other duties as assigned by supervisor.

QUALIFICATION REQUIREMENTS:

  • High school diploma or equivalent.
  • Must be a United States citizen.
  • At least 2 years of experience in office administration.
  • Good basic computer skills with proficiency in Word and Excel.
  • Familiarity with reviewing and printing drawings in AutoCAD.
  • Experience with purchasing / requisition systems.
  • Basic math skills.
  • Ability to handle multiple tasks.
  • Excellent Organization Skills

PHYSICAL REQUIREMENTS:

  • Occasional lifting of up to 15 pounds.
  • Prolonged sitting.
  • Walking up/downstairs.
