About the position:
The Administrative Assistant performs administrative support that enables the Assistant Director to maintain focus on the executive functions of the department, and executes internal processes and procedures that facilitate the smooth and efficient functioning of the program. This position requires exposure to highly sensitive information and involvement with school district and community contacts requiring considerable use of discretion, tact, diplomacy, and judgment.
About the program:
Head Start is built upon the understanding that child and family development takes place in a community and effective programs build upon and link families with community resources. For this reason, Head Start to Success is designed to link with schools, social service agencies, health services and childcare services. In this way, Head Start to Success achieves the Head Start mission of supporting families in preparing their children for kindergarten success. Head Start to Success continues to be an innovative Head Start program that combines supportive educational home visits with an enhanced, educationally rich prekindergarten program. Head Start to Success provides comprehensive services for Clackamas County's children and their families. Enrolled children receive a quality preschool experience in their own community and the family is supported through home visits and offered comprehensive education, nutrition, health and social services. The program’s funding comes from the state of Oregon and follows all of the Federal Head Start guidelines and standards.

About Clackamas Education Service District (CESD):
Clackamas Education Service District is one of Oregon's 19 ESDs charged with providing programs for children with special needs, technology support, school improvement, and administrative services to local school districts and the Oregon Department of Education. Clackamas ESD serves ten school districts in Clackamas County, including Canby, Colton, Estacada, Gladstone, Lake Oswego, Molalla River, North Clackamas, Oregon City, Oregon Trail, and West Linn-Wilsonville.
Essential functions:
- Greets and assists ESD staff, agency partners, clients, and community members with prompt and courteous responses on behalf of the program
- Receives and screens visitors and incoming phone calls, determining the priority matters, and notifying appropriate staff accordingly
- Fulfills department or program HR functions including tasks related to ESD employees, temporary professional contracts, and personal service contracts
- Fulfills department or program level fiscal functions including originating requisitions, processing purchases, tracking invoices, reconciliation of account codes, production of expenditure reports, and processing reimbursements
- Manages and organizes program’s supplies, equipment, and technology, including ordering, tracking inventory, and coordinating deliveries

Minimum qualifications:
- Two years of recent successful experience fulfilling the functions of an administrative assistant role
- Exceptional problem-solving and decision-making skills including flexibility and adaptability to changing conditions
- Exceptional oral communication skills to explain policies, procedures, and projects, and to interact with employees, clients, and the public, using discretion, tact, diplomacy, and judgment
- Demonstrated ability to compose, revise, edit, and/or proofread professional documents
- Proficient in MS Office and Google Suite software

Starting Salary: $19.34/ hour (Range 13)
