JOB SUMMARY

The Administrative Assistant performs administrative tasks in support of the Green Builder/Metals department. These tasks include entering information into the customer database, preparing and sending monthly customer recycling data paperwork, verifying billing information, drafting correspondence and other documents and being responsible for onsite reporting.


CORE RESPONSIBILITIES

  • Wear appropriate personal protection equipment (PPE), when necessary.
  • Perform administrative tasks in support of the department.
  • Enter customer commodity weight information into a database.
  • Prepare and send monthly customer recycling data paperwork.
  • Verify customer billing.
  • Receive, sort, file and retrieve forms, correspondence and documents.
  • Establish and maintain filing systems.
  • Draft routine correspondence, reports and other documents.
  • Operate and maintain a variety of office equipment, including copier, computer, scanner and phone system.
  • Complete and file onsite production reporting.
  • Purchase office supplies and maintain the conference room.
  • Other duties as assigned.


REQUIRED SKILLS & QUALIFICATIONS

  • High school diploma or its equivalent
  • At least six months of administrative support experience
  • Excellent written and verbal communication skills in English
  • Proficiency with the Microsoft Office suite – e.g., Word, Excel, PowerPoint, Access
  • Ability to accurately type 60 to 65 wpm
  • Experience using databases
  • Experience exporting reports from a database
  • Analytical skills
  • Must be self-motivated and able to work in a fast-paced environment with rapidly changing objectives
  • Must be able to take responsibility for assigned projects and work effectively under general or minimal supervision
  • Demonstrated ability to process large volumes of data
  • Professional telephone and personal presence
  • Must be detail oriented and possess a strong work ethic
  • Must adapt well to change;
  • Ability to follow instructions and work well with employees at all levels of the company.


PREFERRED SKILLS & QUALIFICATIONS

  • Bilingual in English and Spanish
  • Strong Microsoft Excel skills
