Full-time Administrative Assistant Wanted
We are looking for a compassionate, enthusiastic, and motivated person to provide high quality, first- impression, excellent customer service by phone and at our front desk in our Waite Park office. They must be able to handle multiple projects at once, juggle priorities and still maintain a calm, courteous attitude to provide service to our customers.
Primary responsibilities of this full-time position will include:
*Provide exceptional customer service to customers in person and by phone using multi-line system. Log all visitors in agency software.
*Provide administrative support to various programs (copies, scanning, data entry, IT meeting set-up, meeting minutes, creating documents, etc.).
*Distribute incoming mail, faxes, emails, etc. Prepare outgoing mail – bulk, packages, certified mailings, etc.
*Coordinate agency supply orders and deliveries.
*Provide administrative support to Leadership team and Board of Directors.
*Coordinating of staff training/travel registrations.
*Creating purchase orders for payment of supplies, building utilities, training/travel, etc.
Wage range is $17.60-$21.12 per hour and includes a comprehensive benefits package, including paid holidays, paid personal days, PTO, health/dental/life insurance, employee assistance and 403b retirement savings match.
Qualifications:
*Combination three years’ education/experience in Office Administration/administrative support.
*Excellent customer service skills- in person and by phone. Excellent communication skills.
*Proficient with MS Office products (Word, Excel, Teams, Outlook, PowerPoint, etc.) and a high level of clerical office skills. IT skills for virtual meeting support.
*Must be able to work with and maintain confidential information.
*Ability to operate standard office machines as required, multi-function copiers, scanning, postage machine, etc.
*Valid driver’s license and ability to travel within the agency service area.
*Bi-lingual (Spanish or Somali) preferred.
