Job Summary
The Project Administrative Assistant will provide administrative and general office support to the site and regional operations. The Administrative Assistant directly impacts business operations by providing efficient and effective support directly to the field. The Administrative Assistant will act as the primary point of contact for site supervisors, Operations Managers, and Regional Support Managers.
Responsibilities:
  • Processing pre-approved Construction Sub-Contracts by emailing, tracking, uploading, and communicating with subcontractors and project personnel
  • Processing material submittals for customer review and approval, uploading, and communicating with vendors and project personnel
  • Processing purchase orders for subcontractors, material, and equipment rentals using a PO Tracker file and entering information into company system and sending them to vendors to place orders
  • Aid staff to acquire project permits and Certificates of Insurance
  • Perform construction billing tasks , SOVs, and lien waivers
  • Other duties as assigned by supervisor
Qualifications:
Minimum
  • High school diploma or equivalent
  • 2 years of experience with processing sub-contracts and direct communications with project personnel and vendors
  • 1 year of experience with processing submittals and direct communications with project personnel and vendors
  • 1 year of experience with processing purchase orders and direct communications with project personnel and vendors
  • 1 year of clerical or administrative experience related to the construction industry
Preferred
  • Associate degree in business management or similar, including computer and accounting courses.
  • Experience in a construction or project environment.
  • 1 year of experience with Vista Viewpoint system for entering data and requesting reports
Physical Demands and Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, and scanners.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. This position is primarily sedentary, with some filing or lifting required. Must be able to bend and lift and carry up to 50 pounds.
