Job Title: Administrative Assistant

Type: Hourly/Full Time

Dept: Administration/City Hall

RELATIONSHIPS

Reports to: City Clerk

Subordinate Staff: N/A

Other Internal Contacts: All City Departments and employees

External Contacts: General Public

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Answer the phone to take messages or redirect calls to appropriate colleagues.
  • Assist the public with general information and direct questions/concerns to the appropriate Department Heads.
  • Provide back-up for other departments as needed.
  • Assist Permit Clerk and Business License Administrator.
  • Other administrative duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Verbal skills to communicate information to employees and the public.
  • Reading skills to understand policies, manuals and information pertaining to city government.
  • Knowledge of departmental and city rules, regulations, policies, and procedures.
  • Ability to deal with public in a pleasant and effective manner.
  • Knowledge and working expertise of word processing programs, spreadsheets, and other office related software.
  • Ability to work independently on a high level of clerical task.
  • Ability to manage multiple projects independently.

OTHER CHARACTERISTICS

  • Basic Qualifications: High School diploma/GED (desired 2 years related office experience).
  • Possess a valid driver’s license with a good driving record.
  • Proficient knowledge of Microsoft Office Suites.
  • Thoroughness in all phases of duties performed to utilize the most efficient organizational skills.
  • Highly motivated individual who has ability to “multi-task” comfortably, work independently & efficiently, and maintains calm disposition.
  • Willingness to quickly switch job task and perform task that are not listed in this job description.

Job Type: Full-time

Pay: From $14.35 per hour
