Administrative Assistant
Job description
This position provides administrative support to ensure the efficient and effective operation of the university-wide academic unit review quality improvement process in the Office of Assessment and Planning.
Essential Functions
Manage the support for the academic unit review continuous improvement program
- Liaise with the academic unit review director to handle requests and queries from department chairs and vice presidents.
- Assist the unit review director with training units on the unit review continuous improvement process.
- Provide comprehensive project planning and management for 10-12 reviews each year.
- Manage and coordinate travel and accommodations for external reviewers.
- Manage the submission and reconciliation of expense reports.
- Provide record management for all documents associated with the unit review process.
- Update and maintain office policies and procedures to ensure effective and efficient unit reviews.
- Prepare final reports, ensuring reports are written following established style guides.
- Provide support for the director of academic unit reviews.
- Provide support for the assistant to the president for assessment and planning as requested.
Provide support for the University Academic Unit Review Council (UARC)
- Manage the UARC membership list, coordinating with the unit review director to secure appointments for new members.
- Coordinate monthly UARC meetings and take detailed minutes.
- Answer questions and provide other support as needed.
Education/Experience
Minimum education/experience
Required:
- Two years’ administrative support experience in an academic or professional setting.
Preferred:
- Bachelor’s degree and three years of experience in an academic or professional setting.
Skills, abilities, knowledge, licenses, certifications:
- Professional communication skills (oral and written) with the ability to work with people at all levels, including faculty administrators, and vice presidents. (Required)
- Well organized, self-motivated, and able to prioritize, multi-task, and meet deadlines with accuracy. (Required)
- Proficiency in Microsoft Office, Excel, and PowerPoint as well as Adobe Acrobat Pro. (Required)
- Demonstrated ability to adapt and learn new tasks and responsibilities efficiently. (Required)
- Ability to learn new software and computer programs. (Required)
- Skilled in managing confidential documents and information. (Preferred)
- Project management skills. (Preferred)
