The Administrative Assistant operates under the Office of Performance and Compliance. As such this individual will report to the Performance and Compliance Manager. The Administrative Assistant is responsible for providing administrative support to the Performance and Compliance team. This position interacts with the public, AAWDC staff members, and participants. This position supports the Intake team by assisting job seekers with the intake process, ensuring data is properly entered in the MWE database, and responsible for maintaining files and file room. The Administrative Assistant also assists the Performance and Compliance Manager with internal audits. This position requires attention to detail, organizational skills, and the ability to communicate with various audiences.
Key Functions/Responsibilities
- Assists Intake team with collecting eligibility documentation and reviewing intake packets for enrollment.
- Works collaboratively with team members to ensure performance goals are met/exceeded.
- Maintain participant files at a level that will ensure compliance.
- Ensure funded services are entered correctly into MWE (Maryland Workforce Exchange) before the grant ends. As well as enter data in the MWE database.
- Assist with maintaining and organization in the participant file room.
- Assist with facilitation of the virtual and in-person information sessions as needed.
- Assist Performance and Compliance team with preparation for internal and external audits.
- AAWDC will eventually move to Virtual Enrollment. An Administrative Assistant will assist with ensuring existing files are properly scanned.
- Responsible for reviewing staff entered credentials, certificates of completion, and measurable skills gain for accuracy.
- Attending and actively engage in staff meetings and AAWDC functions, as assigned.
- Monitor and guide participants through job readiness activities.
- Any additional duties assigned by the Performance and Compliance Manager.
Education/Experience/Abilities
- Detail oriented and ability to track multiple projects / tasks simultaneously.
- Comfortable with technology and can learn proprietary systems for data entry and reporting.
- Excellent communication skills across all levels of an organization – written and verbal.
- Is proactive in their approach to problem solving and takes initiative to implement needed corrections.
- Knowledge of filing systems and organizational methods
- Ability to prioritize work, track deadlines, and report obstacles in a timely manner.
- Ability to work in a positive environment and be coachable.
- Capability to articulate the organization’s intake process to potential clients.
- Commitment to innovation, collaboration, excellence, teamwork, and creating value for clients.
- Proficient in Microsoft Office Suite, including Excel, Outlook, and PowerPoint.
- High School Diploma or GED; AA degree preferred.
- Minimum of two (2) years’ experience in an administrative, clerical, or customer service position
Work Environment
- General office environment
- General Hours for this position are 8:00 am – 5:00 pm, Monday through Friday.
- Position may require evening and weekend hours as determined by departmental needs.
- Position may require local travel within Anne Arundel County
- Position may qualify for telework, dependent on departmental and organizational needs.
Physical Demands
- This position requires movement about the inside the office to access files, office machinery etc.
- This position requires ability to move (with assistance) tables weighing up to 50 pounds.
- This position requires the ability to move chairs up to 15 pounds without assistance.
