Under immediate supervision/direction and procedural control of the Office Manager or Supervisor, the Administrative Assistant conducts clerical and general office work for a large administrative unit. Employee provides clerical and data entry support and performs a variety of office tasks. Employee will work with different records or forms, receives and prepares information for further processing or record keeping. Most work-related decisions are guided by existing policies or regulations, but occasionally he/she must use his/her own judgment. The incumbent must be able to work well under stress and be able to handle various tasks despite of numerous interruptions. Courtesy, tact and diplomacy are required in daily contact with the public and staff. Employee is responsible for prompt, accurate performance of most or all clerical accounting duties, including typing and data entry. Employee provides administrative assistance by relieving supervisors or some routine duties.

Job Responsibilities:

1. Types, files andmaintains reports, correspondence, statements.

2. Process reporting and fuel tickets.

3. Update internal databases with order details.

4. Record up to date notes in company’s software system and provide current status reports for processing, order confirmation numbers, ship date, and equipment tracking numbers, costs, and delivery confirmation, including any potential impacts on related pending customer orders.

5. Answers telephone, takes messages and provides information to callers, contractors, and vendors.

6. Adheres to administrative policies, processes and procedures.

7. Assist internal employees with administrative duties, to include but not limited, reporting, documenting and processing requests.

8. Performs general and specialized office clerical work such as computer word processing, data entry, and filing, copying and operating office equipment.

9. Performs customer service professionally using courtesy, tact and diplomacy.

10. Additional duties as assigned.

1. Must be customer service driven.

2. Must have a working knowledge of MS Word, Excel, Outlook and accounting.

3. Must be efficient in computer-based operations.

4. Maintain professional demeanor and appearance (per customer and regulation requirements)

5. Must have a valid driver’s license and a motor vehicle record that meets fleet insurance requirements - No more than 3 moving violations in the past 3 years

6. Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with a two-year associate's degree, diploma or equivalent from a college, technical, business, vocational, or correspondence school. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.

7. The job requires an accredited high school diploma/GED and at least six (6) months to one (1) year of study or training post-high school from an accredited college, junior college or technical business school in the field of administration, purchasing, contracting or related field.

8. The job requires one (1) to three (3) years of related accounting office work experience.

Job Type: Full-time

Pay: $15.00 - $16.00 per hour
