Job description
The Administrative Accountant prepares the County’s Financial Statements, processes accounts payable, and accounts receivable, prepares journal entries, proofs department entries for county funds, maintains vendor information, processes 1099’s, calculates and remits sales tax, records and verifies accruals, processes tax settlements, verifies transfers in and out of county funds, ties out state payments and due to and from funds, reconciles accounts and performs budget maintenance. This position provides technical expertise and financial information to others in County Finance. This position works closely with the State Auditors to provide accurate and timely reports.
Accounts Payable
- Enter and review warrant invoices to ensure compliance with board actions, county policy and state guidelines.
- Verify payments for any mishandling of county funds.
- Verify and maintain vendor information.
- Enter invoices into IFS.
- Verify batch totals, address vendor problems, account changes, and duplicate checks.
- Provide audit listings to department heads for review.
- Print checks and process ACH files.
- Post batches in IFS and assist departments with any vendor problems.
Accounts Receivable
- Receipt in money for Auditor’s department.
- Process incoming sate and federal funding.
- Interface all county receivables in IFS and verify with Treasurer’s department.
County Financial Statements
- Work with State Auditor’s in preparing entries, providing accurate and timely reports.
- Verify fund statements, balance sheets, and income statements are accurate.
- Prepare and post journal entries.
- Proof county funds and correct any errors.
- Record and verify accruals, reconcile state and federal payments, tieout due to and from funds verify transfers to and from funds.
- Manage reserve accounts.
- Perform budget maintenance.
- Reconcile fund balances with Treasurer’s cash trial balance.
- Reconcile primary checking account and produce monthly financial reports for all departments.
Tax Duties
- Calculate and remit sale tax.
- Prepare and process 1099’s
- Process tax settlements.
Additional/Ancillary Duties and Responsibilities
- Attends training/educational sessions, meetings and seminars.
- Attends and participates in staff meetings.
- Provide assistance to Auditor/ Treasurer and county departments regarding a variety of financial and accounting issues.

- Ability to maintain effective communication and working relationships with department and other departments, outside agencies and public (supplying or seeking information) on issues requiring cooperation, explanation and persuasion, or work requiring enforcement of laws, ordinances, policies and procedures.
Education and Experience
- Requires High School diploma or equivalent;
- College, vocational or business school training in accounting or related field and six years of relevant experience; or
- Equivalent combination of education and experience

This job typically requires: sitting, standing, walking, feeling, manual dexterity, grasping, talking, hearing, typing, and seeing. There is prolonged exposure to computer keyboards and video screens. This position is generally light-duty and may require the exertion up to 60 pounds of force. This position frequently deals with deadlines and accuracy.
