Accounts Payable Specialist

Branch: Los Angeles Law Firm

Job Summary:

We are seeking a highly motivated and detail-oriented Accounts Payable Specialist to join our Firm. As a hybrid role, you will be responsible for performing the Accounts Payable function, ensuring timely and accurate payment of invoices. This role requires at least 4 years of experience in a similar capacity and a proven track record of success in performing Accounts Payable duties. The position reports to the Chief Financial Officer.

Responsibilities:

· Process a monthly average of 1,000 invoices

· Post invoices daily and review A/P register to ensure all items entered are correct and assigned to appropriate GL accounts/Locations

· Enter and pay parking and mileage expenses

· Record all ACH transactions

· Respond to vendor payment status inquiries

· Review invoices for appropriate documentation, client cost advance policy and approval prior to payment

· Contribute to departmental automation and process improvement projects

· Responsible for Pay Directs – forward invoices to adjuster for payments with monthly follow up until payment is made to vendor

· Maintain a record of all invoices submitted to adjusters for payment

· Annual compliance with Form 1099 requirements

· Reconcile vendor statements, research, and correct discrepancies; process high-volume of vendor invoices

· Responsible for coordinating and performing all tasks associated with all Accounts Payable and weekly check processing

· Answer Attorney/Secretary inquiries regarding AP

· Pay invoices via American Express either by phone, fax or e-mail

· Credit Card (American Express and VISA) reconciliation and transact into ProLaw Accounting System

· Process employee reimbursements

· Vendor invoices including health insurance processing and reconciliation

· Provide support for ad hoc AP/Accounting matters required by CFO

Qualifications:

  • Bachelor's degree in Business Admin, Accounting, Finance or related field
  • At least 4 years of experience in Accounts Payable or related field
  • Excellent attention to detail and ability to manage multiple tasks simultaneously
  • Strong communication and interpersonal skills
  • Ability to work independently and be part of a team
  • Proficient in Microsoft Excel and other accounting software using ProLaw a plus
  • Ability to adapt in a fast paced environment and collaborate on multiple projects
  • Experience in the Legal industry is a plus

Salary:$50,000 - $58,000

Status: Non-Exempt
