JOB FUNCTION / SUMMARY:
Performs analytical tasks related to Accounts Payable workflow software in order to resolve all issues and to facilitate timely payments of bills; makes recommendations to management for procedural improvements; responsible for 1099 reporting and making payments to the IRS by performing the following duties.
ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Plays a key role in communicating issues related to the business unit, users and vendors. This includes the proper procedure for submitting invoices to guarantee prompt payment.
  • Confers with personnel of organization units involved to analyze current operational procedures, identify problems and learn specific input and output requirements for optimal workflow production.
  • Studies existing system to evaluate effectiveness and develops new procedures to improve production or workflow as required.
  • Reports all exceptions to the manager on a daily basis
  • Maintains and troubleshoots electronic file uploads into the Accounts Payable system
  • Compiles research data in order to independently resolve the issue in a timely manner.
  • Maintains newly added vendor file to assure proper 1099 reporting.
  • Researches and responds to all inquiries for customers regarding IRS notices.
  • Contacts other departments to ensure that all year end deadlines are met.
  • Determines when Accounts Payable invoices need to be sent to the off-site storage unit.
  • Scans invoices and enters them into Accounts Payable system in an accurate and timely manner.
Secondary Duties
  • Assists with related special projects, as required.

MINIMUM REQUIRED EDUCATION, EXPERIENCE & KNOWLEDGE:
  • Associates Degree or equivalent and three or more years of related experience and or training; equivalent combination of education and experience is acceptable.
  • Language Skills
    • Ability to communicate effectively orally and in writing using the English language
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
    • Ability to write routine reports and correspondence
    • Ability to speak effectively before groups of customers or employees of organization.
  • Mathematical Skills
    • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
    • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Reasoning Ability
    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
    • Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer Skills
    • To perform this job successfully, individual should have knowledge of accounting software
    • Ability to map electronic file uploads
    • Working knowledge of Microsoft Office products (Microsoft Word, Outlook and PowerPoint)
    • Proficiency in Microsoft Excel.
  • Certificates, Licenses, Registrations
    • No specific certifications, licensure or registrations are needed to satisfactorily perform this job.
ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS:
  • Ability to work under stress and meet deadlines
  • Ability to operate related equipment to perform the essential job functions
  • Ability to read and interpret a document if required to perform the essential job functions
  • Ability to travel if required to perform the essential job functions
  • Ability to lift/move/carry approximately 10 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division an “undue hardship” then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
