SUMMARY:
Responsible for provision of varied administrative support duties related to the accurate and timely processing of all invoices payable by the corporation; accesses and references all information concerning payment of such invoices.
ESSENTIAL FUNCTIONS:
This class specification lists the major duties and requirements of the job and is not all-inclusive. Incumbent(s) may be expected to perform job-related duties other than those contained in this document and may be required to have specific job-related knowledge and skills.
1. Processes invoices for payment; researches transactions to ensure that authorization and account codes listed are accurate; enters data to system.
2. Processes timely and accurate payments to safeguard assets; ensures proper authorized release of funds; schedules and processes payments.
3. Resolves inquiries and requests for assistance from vendors; researches and resolves issues/discrepancies; runs reports as required.
4. Establishes and maintains records of approved vendors; ensures provision of required documentation to include W9.
5. Maintains month end processes for effective and accurate A/P reporting for each month/quarter/year end; ensures invoices are in on a timely fashion for the accuracy of month end.
6. May review vendor statements, packing slips and encumbrances to ensure old or outstanding invoices get paid on schedule; works with vendors for questions or concerns/issues; provides reports and check detail from vendor payments as required.
7. Maintains accounting, financial and statistical records and prepares periodic or special reports.
8. Assists with training of staff as required.
9. Performs other administrative support duties as assigned.
10. Contributes to the efficiency and effectiveness of the department's service to its customers by offering suggestions and directing or participating as an active member of a work team.
11. Promotes and supports the overall mission of Pace Analytical by demonstrating courteous and cooperative behavior when interacting with customers and staff; acts in a manner that promotes a harmonious and effective workplace environment.
QUALIFICATIONS:

Education and Experience:
High School Diploma/GED; AND two (2) years of accounting administrative support experience; OR an equivalent combination of education, training and experience.
