The Accounts Payable Administrator is responsible for the processing more complex vendor accounts within the Accounts Payable Department while adhering to internal controls, policies and procedures. The responsibilities of this position include invoice auditing, invoice verification with compliance to cost guidelines and account payment preparation, responding to P&L questions, as well as performing a monthly internal audit and journal entries.

Major Responsibilities:

  • Matching and verifying invoices to vendor statements
  • Multi-task and process invoices in an accurate and timely manner
  • Post payments to correct GL and research expense and P&L questions
  • CRM database entry and maintenance
  • Reconcile and pay multiple high-volume EDI accounts each cycle
  • Create and maintain complex spreadsheets
  • Upload journal entries to ERP
  • Ensure expenses are recorded in the proper accounting month and adhere to deadlines.
  • Ensure inventory and receiving procedures are adhered to- perform three-way match
  • Complete monthly audit schedule and present findings
  • Communicate with internal customers and maintain vendor relationships
  • Cover reception area as necessary
  • Assumes additional responsibilities and associated tasks as determined by the Department Manager

Education/Experience:

  • Associates Degree or 5 years accounts payable experience and related technology (preferred) Experience and ability to work independently and make sound decisions about the handling of assigned accounts

  • Has a solid understanding of Microsoft Office Excel
  • Excellent problem-solving skills
  • Possesses the aptitude to navigate multiple computerized software and accounting systems
  • Demonstrates a high level of accuracy
  • Ability to balance large volume accounts and is number-oriented
  • Has strong organizational skills and is detail oriented
  • Has strong written and verbal communication skills and customer service attitude
  • Familiar with general accounting practices
  • Fast learner and is open to change
  • Must be able to adhere to strict deadlines
